The Medical Records Specialist is responsible for maintaining, organizing, and safeguarding patient health information across the organization. This role ensures that medical records are complete, accessible and properly documented within EMR system. In addition, the Medical Records Specialist processes requests for medical records, ensuring all releases are completed in accordance with HIPAA regulations and clinic policies

Principal Responsibilities:

  • Accurately scan, upload, and label documents in patient charts.
  • Answer calls in a courteous, professional, and efficient manner. Keeping in mind that they are representing Mission Cancer Blood, part of University of Iowa Health Care, the medical records department, and as an extension of the individual physician team(s).
  • Understands and completes release of information requests efficiently and accurately.
  • Maintains accurate documentation and tracking information.
  • Requests and obtains stored charts as needed.
  • Follows HIPAA and other privacy polices so patient confidentiality is maintained.
  • Send messages and tasks to appropriate parties in the EMR.
  • Accurately and efficiently enters data and annotates information in patient charts.
  • Professionally communicates with internal and external stakeholders.
  • Other duties as assigned.

Education Requirements:

  • High School Diploma or Equivalent

Performance Requirements:

Knowledge:

  • Knowledge of medical protocols related to medical records.
  • Knowledge of computer systems.
  • Knowledge of customer service principles and techniques.
  • Knowledge of medical terminology.

Skills and Abilities:

  • Skill in communicating effectively with physicians and clinicians.
  • Skill in maintaining a proficient and professional demeanor.
  • Skill in directing and/or taking messages for each call.
  • Skill in understanding and following oral and written instructions.
  • Ability to multitask effectively, dealing with phone calls, staff, and others pleasantly.
  • Ability to communicate calmly, clearly, and concisely with patients about appointments in all circumstances including when they are ill or have an emergency.
  • Ability to analyze situations and respond appropriately.
  • Ability to handle multiple projects simultaneously and prioritize.
  • Maintain confidentiality inside and outside of the workplace.
  • Demonstrate accuracy and thoroughness.
  • Understand and follow federal regulations pertaining to healthcare, including but not limited to: OSHA, HIPAA, etc.
  • Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and appropriate practice management software.
  • Strong organization and documentation skills

Working Conditions:

Physical surroundings: Medical office or reception area.

Adverse working environment Work may be stressful due to continual interaction with others, long hours required and nature of the medical specialty.

Physical Effort: Must possess the physical and mental abilities to perform the tasks normally associated with this role including mostly sedentary with some standing, walking, bending, and reaching. Lifting and carrying up to 10 pounds of office equipment occasionally.

Local Travel: Occasional, within city limits only

Domestic/International Travel: None

Extensive Hours: Varies due to need
