Description:
The Client Services Administrator supports the daily operations of the Service Department by coordinating communication, scheduling, documentation, and administrative tasks. This role helps ensure service requests are handled efficiently, technicians are properly supported, and clients receive a high level of communication and service.
General Purpose:
This position serves as a central communication and organizational resource for clients, technicians, vendors, and internal team members, helping ensure service operations run efficiently, documentation is accurate, and client communication is timely and professional.
Main Job Tasks and Responsibilities
- Communicate with clients regarding scheduling, updates, and follow-up
- Create and manage service tickets and work orders
- Answer and direct incoming service calls and emails
- Schedule service appointments and coordinate technician calendars
- Manage department invoices and Accounts Receivable
- Coordinate with technicians, project managers, and vendors as needed
- Maintain accurate records within company software systems
- Assist with tracking parts, purchase orders, and product returns
- Support warranty claims and manufacturer communications
- Help ensure service documentation and project files are organized and up to date
- Assist with maintaining department processes, checklists, and reporting
- Directly support the Client Service Manager
