ABOUT THE ROLE:
We’re looking for a Junior Event Producer with exceptional attention to detail and organizational abilities, strong logistics coordination skills, and confident communication skills. In this role, you’ll support the planning, coordination, and execution of high-impact experiential events, working closely with senior producers, internal teams, vendors, and clients to ensure every detail is meticulously tracked, documented, and flawlessly executed. Your ability to juggle multiple projects and tasks simultaneously while maintaining precision across logistics and communications will be key to delivering experiences that exceed client expectations and resonate with target audiences.
This role is ideal for someone who thrives on bringing structure to big ideas, excels at research, detailed logistics coordination and communications, and loves the challenge of managing multiple moving pieces simultaneously. We're looking for someone who is driven and detail-obsessed, exceptionally organized, resourceful, and a self-starter who learns quickly. You'll be the logistics backbone of our production process, ensuring nothing falls through the cracks while collaborating with senior team members on strategy and client communications.
WHAT YOU’LL DO:
Production & Logistics
- Support event planning and execution of events and activations from pre-production through tear-down
- Meticulously manage and track logistics across multiple projects: timelines, payments, run-of-show schedules, COIs, vendor scopes/POs/invoices, staffing plans
- Research venues and assist with securing locations
- Source, manage, and communicate with multiple non-scenic and non-print event vendors (caterers, AV, permits, security, cleaning, brand ambassadors, etc.)
- Manage staffing plans and create briefing documents for hired staff, as needed (brand ambassadors, production assistants, security, cleaning, etc.)
Project Coordination & Documentation
- Create and maintain detailed production documentation across active projects: i.e. trackers, schedules, uniform size and distribution lists
- Monitor production budgets and track expenses with precision
- Support invoicing and payment coordination
- Order event supplies, coordinate site delivery and return with comprehensive guides
Meeting Management & Follow-up
- Attend production meetings and client calls
- Prepare comprehensive follow-up summaries and action item lists post-meeting
- Track action items across multiple projects to ensure completion
Vendor & Team Collaboration
- Send detailed vendor outreach communications
- Coordinate with multiple vendors simultaneously on timelines, deliverables, and logistics
- Support senior producers by tracking and communicating production updates
- Lead aspects of on-site execution with meticulous attention to detail
On-Site Event Support
- Assist with setup and breakdown of event materials, including displays, signage, and installations
- Manage production back of house area, including supplies, crew meals, and crafty
- Maintain organized, professional event spaces and troubleshoot issues as they arise
- Confidently manage portions of events independently while knowing when to escalate
- Travel to support brand events, including activations, pop-ups, and experiential campaigns
Post-Event
- Collect feedback from internal teams and contribute insights for event wrap reports
- Support creation of recap documentation and project wrap-up materials
REQUIREMENTS:
- 2-4 years of experience in events, production coordination, or activation support
- Obsessively detail-oriented and naturally organized
- Fast learner and self-starter; highly motivated and not easily overwhelmed, you thrive in a fast-paced environment and have a calm, capable presence
- A problem-solving mindset and resourceful, you’re able to provide – or research – solutions to anything that comes your way with a methodical, "track-everything" mentality
- Proactive and anticipatory – you see what’s needed before it’s said
- Comfortable working on multiple projects at once with shifting timelines
- Excellent written and verbal communication
- Smart, self-aware, and not afraid to ask questions
- Strong written and verbal communication skills; confident in managing vendor outreach and follow-up communications
- Demonstrated ability to take detailed notes and comprehensive summaries
- Creative sensibility and interest in branded experiences
- Able to represent Mirror NYC professionally and work collaboratively with team and vendors
- Proficiency in Google Suite required
- Comfortable with travel and working extended hours/weekends during live events, as needed
