The Administrative Assistant for Technology, Operations, and Admissions provides essential clerical and operational support across three interconnected departments: Technology and Data Systems, Operations, and Admissions. This highly visible role serves as a point of contact for internal staff, prospective families, and external partners, requiring strong interpersonal communication skills, initiative, and flexibility. The position encompasses customary administrative support functionsincluding composing correspondence, compiling data and routine reports, ordering supplies, scheduling meetings, and coordinating logisticswhile also supporting department-specific workflows such as admissions processing, technology help desk triage, and operations coordination. A working familiarity with school information systems, district technology tools, and Massachusetts Vocational School enrollment regulations (including Chapter 74) is beneficial. The Administrative Assistant will proactively identify opportunities to improve efficiency across supported departments and provide general support as directed by the Director of Technology and Data Systems.Major Responsibilities:
- Serve as an initial point of contact for inquiries directed to the Technology, Operations, and Admissions departments in person, by phone, and through email.
- Schedule meetings, print materials for meetings, and review itinerary with directors as needed.
- Prepare and send correspondence and drafts correspondence as requested.
- Coordinate requisitions and purchase orders for Technology, Operations, and Admissions.
- Support Director of Operations in managing the building usage calendar.
- Prepare reports as necessary.
- Collect and organize documentation from partner districts.
- Provide logistical assistance for Showcase Days, Career Days, Presentations, Orientation, etc.
- Provide logistical assistance for building rentals.
- Alert department directors to situations requiring extra attention.
- Attend ongoing professional skill development opportunities.
- Communicate with personnel on behalf of department directors as directed.
- Other duties as assigned.
- High School Diploma or GED required.
- Three or more years of administrative or clerical experience, preferably in an educational or public sector setting.
- Proficient skills with Microsoft 365 (including Word, Excel, and Outlook); familiarity with district platforms such as: Follett Aspen, and facilities/purchasing software preferred.
- Excellent organizational and problem-solving skills.
- Strong written and verbal communication skills.
- Superior customer-service orientation.
- This position includes but is not limited to: walking around the school, observing students while they work in their program areas, standing for periods, occasionally lifting and carrying items up to 50 pounds, reading documents, using a computer, listening and speaking, using office equipment, maintaining energy throughout the day, and handling stress effectively.
