Position Summary:
The Campus Mail, Shipping, and Parking Manager oversees daily operations supporting campus mail services, shipping, package delivery, accounts payable, and parking administration. This role ensures efficient service delivery, compliance with regulations, accurate financial reporting, and high-quality customer support for students, faculty, and staff

Key Responsibilities:
Mailroom & Shipping Services:
- Oversee campus mailroom operations, including leased machine management, troubleshooting, updates, and programming.
- Maintain compliance with USPS regulations and stay current on postage and service updates.
- Supervise mail sorting, distribution, bulk mailings, courtesy forwarding, and express shipping.
- Manage courier relationships (FedEx, UPS) and coordinate package pickup, documentation, and billing records.
- Order and maintain stamp inventory, office supplies, and shipping forms.
- Process and supervise daily deposits and prepare end-of-month accounting reports for the Business Office.
Package Delivery:
- Coordinate package delivery with Facilities Management staff to ensure timely receipt by campus recipients, preferably same-day.
- Supervise delivery staff in obtaining signatures for residence hall deliveries and maintain manifests as proof of delivery.
- Capture proof of delivery electronically via the WTS system and maintain hard copy records as required.
- Oversee contactless pickup procedures, ensuring packages are accurately checked out in the WTS system.
Campus Parking Administration:
- Manage permit sales, exchanges, refunds, and related customer support.
- Supervise receipts and deposits, ensuring compliance with accounting standards.
- Maintain permit inventory, order annual hang-tags and visitor permits, and manage electronic visitor permits.
- Revise parking regulations, policies, maps, and procedures with FM and OSS leadership.
- Oversee parking appeals, coordinate appeal review meetings, and manage committee collaboration with Campus Security.
- Ensure parking office website information is current for students and employees.
Accounts Payable:
- Supervise and/or process accounts payable to maintain vendor accounts in good standing.
- Approve and prepare inter-departmental billing and vouchers for shipping charges, ensuring accurate coding and timely payments.
- Maintain accurate and organized financial files for compliance and efficiency.
Qualifications:
Computer knowledge of Microsoft Office (Excel, Word, etc.). Ability to learn new software associated with express shipping. Operate USPS approved machines for mailings. Organization and prioritization skills are needed.
Customer services skills are required.
