Job Description

This position provides operational and student service support for the Registrar, Admissions, and Financial Aid offices by performing routine records processing, data entry, document imaging, and customer service functions in accordance with established policies, procedures, and regulatory requirements. The position helps maintain the accuracy and integrity of student records, supports academic and registration processes, responds to routine student inquiries, and connects students with appropriate college resources and services.

In addition, the position serves as the college's Student Parent Navigator, assisting pregnant and parenting students by providing information, resource referrals, program support, and grant-related services that promote access to available resources and encourage student persistence. Through accurate recordkeeping, program coordination, and student support activities, this position contributes to the efficient delivery of student services and supports student success, retention, and completion goals. This position may be based at either the Winona or Red Wing campus, with occasional travel to the other campus as needed.

This position is a two-year Limited Term Appointment. The appointment is temporary in nature and is not intended to lead to permanent employment.

RESPONSIBILITIES AND RESULTS

Provides routine operational and project support across Registrar, Financial Aid, and Admission offices by performing standardized data entry, records processing, and digital imaging tasks in accordance with established procedures and supervisory direction.

  • Process student documentation and complete assigned data entry and system workflow tasks following established procedures and detailed instructions.
  • Maintain and update student data within ISRS and ImageNow/Perceptive Content by performing routine data entry, verification, and checklist-driven system tasks to ensure accuracy and consistency.
  • Support data cleanup efforts and digital record conversion projects by completing assigned record review, preparation, and archival tasks as directed.
  • Follow federal and state regulations (e.g., FERPA), Minnesota State policies, and institutional procedures when handling student records; refer non-routine issues or discrepancies to designated staff.
  • Assist with identifying and resolving student record discrepancies by applying established procedures, checklists, and predefined processes related to registration, admissions, academic status, transfer credit, financial aid-related holds, and data integrity.
  • Complete routine student record updates, including holds, overrides, and academic status notations, based on clearly defined procedures and approvals.
  • Assist with the entry, tracking, and maintenance of transfer student data in uAchieve following established processes and documentation standards.
  • Provide support for commencement and other major student services processes, including data verification, record preparation, and coordination tasks as assigned.

Serves as a point of contact by providing accurate information, responding to routine inquiries, referring students to appropriate resources, and supporting academic and registration processes.

  • Serve as a point of contact for student inquiriesrelated to academic records, admissions status, registration, and student services systems by providing general information and explaining established policies and procedures.
  • Apply established guidelines to provide general information on standard options and refer students to appropriate staff for advising or decision-making.
  • Resolve routine inquiries independentlyby following established procedures and maintaining discretion and confidentiality, referring to complex or unusual issues to appropriate staff.
  • Support students by directing them to appropriate resources, assisting with forms and documentation, and completing followup tasks to support timely resolution.

Serve as Southeast's Student Parent Navigator by providing students who are pregnant or parenting with information, resource referrals, program support, and encouragement to help them remain connected to the college and access available services.

  • Meet with students individually to discuss available college and community resources, provide general guidance regarding support services, and encourage utilization of academic and student support resources.
  • Assist students in identifying potential barriers to persistence and connect them with appropriate college or community resources based on established referral processes.
  • Prepare and distribute information to students about resources on shelters, food, clothing, child care, fiscal management, social programs, transportation, and others as necessary.
  • Manage the disbursement of funds associated with the Minnesota Office of Higher Education Student Parenting Support Initiative Grant.
  • Maintain program records and compile required information to support grant reporting and program assessment activities.

Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.

Salary Range: $24.40-$30.76

Minimum Qualifications

  • Demonstrated computer and computer software skills, including e-mail, presentation and word processing software skills and skills in managing information using database and spreadsheet software.
  • Strong interpersonal skills including team-building skills that encourage collaboration with a diverse population.
  • Customer service skills sufficient to effectively and sufficiently deal with customer inquiries to ensure customer satisfaction.
  • Strong attention to detail and ability to maintain accurate records and reports.
  • Demonstrated high level of professionalism and ability to maintain confidentiality of private data as well as the ability to use professional discretion when dealing with confidential matters and issues.
  • Ability to carry out administrative functions in a setting where supervision is not constant.

Preferred Qualification

  • College diploma in administrative field or AAS degree in administrative support or related field
  • 2 years previous experience in a college setting or related administrative field.
  • Multilingual or multicultural background or experience working with underserved populations.
  • Ability to carry out administrative functions in a setting where supervision is not constant.
  • Knowledge of college policies and procedures, programs, services, and resources and the ability to locate resources is helpful in addressing student needs.
  • Knowledge of specialized programs and software such as Integrated Statewide Records System (ISRS), uAchieve, Perceptive Content, Maxient.

Monday-Friday (7:30am-4:00pm or 8:00am-4:30pm)
