With a membership of over 2,000 public and private employers, the Council provides education, training programs, and resources aimed at reducing injuries at work, on the road, at home, and in the community. Since 1928, the organization has focused on fostering a culture of safety and serves as the lead agency for Safe Kids Minnesota, a coalition focused on preventing childhood injuries. Located in St. Paul, MN, the Council works through partnerships and collaborations to create a safer and healthier state for all individuals.


Basic Function

The Project Coordinator is responsible for coordinating and evaluating programs, including grant-funded initiatives, at the Minnesota Safety Council. This role collaborates with internal teams and external partners to ensure compliance, accurate reporting, billing and effective project process management.

 

Key Responsibilities

  • Assist planning and program implementation.
  • Work with businesses and program instructors to schedule training and logistical support.
  • Oversee the coordination of technology for program operations, such as video conferencing technology, presentation software and other communications technologies for virtual and online seminar training.
  • Maintain course records (in IMIS operation system), processing completion certificates, rosters, and course materials.
  • Responsible for monthly project reporting (numbers of courses and attendees, etc.).
  • Work with program team to develop and assist in program evaluation.
  • Assist in overseeing the program budget, including tracking billing, and other financial transactions.
  • Monitor program outcomes and evaluate effectiveness using data-driven approaches.

 

Program Coordination & Support Services

  • Provide oversight and coordination of programming, including logistics, scheduling, and instructor coordination.
  • Ensure accurate recordkeeping, calendar management, reporting, and evaluation processes across assigned programs.
  • Manage online systems (e.g., JotForm) and facilitate technician and stakeholder communications (e.g., listservs).
  • Support program tracking, reporting, and partner engagement across multiple initiatives.
  • Administer Corporate Safety Awards programming and related recognition efforts.
  • Coordinate onsite occupational safety training and maintain strong partner relationships.
  • Support cross-program collaboration and broader organizational initiatives.

 

Essential Skills and Qualifications

  • Experience managing grant-funded programs, including reporting and compliance.
  • Strong project management, organizational, and leadership skills.
  • Strong collaborator who builds effective working relationships across teams.
  • Ability to manage multiple projects, timelines, and priorities simultaneously.
  • Financial management experience, including budgeting and expense tracking.
  • Excellent written and verbal communication skills.
  • Strong customer service and relationship management abilities.
  • Experience coordinating training, events, or educational programs.
  • Proficiency in Microsoft Office Suite; experience with CRM/databases (IMIS experience desired).

  • Reports to Director of Traffic Safety and Advocacy
  • Works collaboratively across all Minnesota Safety Council program areas

 

External Relationships

  • Maintains strong partnerships with businesses, instructors, grant agencies, and community stakeholders
  • Represents the Minnesota Safety Council in meetings, training, and public events
