This position exists to provide the administrative and clerical services necessary to process the incoming and outgoing institution mail, facility services, resident correspondence and packages, and to document a wide variety of legal and financial transactions for residents and institution staff. All responsibilities must be performed with an emphasis on security to ensure that no contraband, unauthorized mail, or items enter the institution through the mailroom.

Minimum Qualifications

The following qualifications are required of all applicants seeking consideration for this position. Only applicants whose application materials clearly demonstrate fulfillment of each of these minimum qualifications will be considered for the position. To ensure accurate evaluation, your resume must clearly describe your experience in the required areas. For each job, include whether it was full-time, part-time, or intermittent/on-call; how many hours per week you worked; and the month and year you started and ended

  • Typing/keyboarding skills sufficient to perform skilled typing tasks with speed and accuracy.
  • Math skills sufficient to perform basic math calculations to process and review orders.
  • Data entry skills sufficient to enter and update data into computer applications and DOC-specific systems such as Microsoft Word, Microsoft Excel, and other mailroom applications and Correctional Operations Management System (COMS).
  • Word processing skills (preferably Microsoft Word) sufficient to prepare documents that are grammatically correct, in proper format, and free of spelling errors.
  • Skills in using spreadsheet software (preferably Microsoft Excel) sufficient to enter and update spreadsheets.
  • English language skills sufficient to communicate clearly and accurately, both verbally and in writing, and sufficient to read and understand a variety of documents.
  • Customer service skills sufficient to provide prompt, courteous and accurate information to other staff, offenders, and members of the public over the phone and in-person.

Preferred Qualifications

The following qualifications are strongly desired of applicants seeking consideration for this position:

  • Experience working in a mailroom environment.
  • Experience working in a correctional environment.
  • Experience maintaining accurate records.
  • Knowledge of DOC policies related to offender property, canteen, and mailroom.

Physical Requirements

The completion of pre-placement physical components may be required for this position. These components may consist of a tuberculosis screening, commercial drivers license (CDL) drug test, and/or respirator clearance. Additional Requirements

The selection process may include screening the top candidate(s) on their criminal history, predatory offender registration, offender associations and/or other applicable background information in accordance with Department of Corrections’ policy. Top candidate(s) must pass a criminal history check which includes successful completion of all sentencing and/or restitution requirements of law enforcement jurisdictions, including probation.

Employment history/reference checks, including incidents of sexual harassment, will also be conducted on the top candidate(s) in accordance with Department of Corrections’ policy. This may include a review of job performance and discipline records.

New employees will be fingerprinted within the first 30 days of employment.
