This is a unique position that serves not only the Minnesota Correctional Facility -Faribault (MCF-FRB) Behavioral Health Services (BHS) team but is also responsible for working with staff across all Minnesota Department of Corrections (DOC) facilities and central office, as well as across departments to ensure efficiency, consistency, and quality services are provided. This position is responsible for independently coordinating and implementing confidential, executive, and advanced administrative support in the areas of office management, information management, analysis, quality assurance, and special projects for two complex behavioral health programs at Minnesota Correctional Facility – Faribault, the largest correctional facility in the state. This position is the lead worker of the MCF-FRB Mental Health Program and the New Dimensions Substance Use Disorder Treatment Program, providing training, coordination of tasks and schedules, and oversight of essential business needs. Additionally, this lead worker assists other behavioral health OAS across the Department of Corrections in the mental health, substance use disorder, and sex offender treatment programs. This position acts as a conduit for management staff in providing direction to the DOC behavioral health teams. This position develops and modifies behavioral health guidelines and procedures in collaboration with the Associate Director of Behavioral Health. This position is responsible for management of clinical information related to mental health and psychiatry services, thereby supporting the facilitation of clinical services. In this lead role, this position collaborates with OAS and supervisors in other MCF-FRB departments to assist with special projects, to ensure smooth operations in the facility, and to serve as the first point of contact for inquiries regarding mental health and substance use disorder programming, staff, and services. This position also serves as backup to two other MCF-FRB Behavioral Health Office and Administrative Specialists.

Minimum Qualifications

To be qualified for and considered for this position, applicants must meet all the minimum qualifications listed below.   • English language skills (reading, writing and speaking) sufficient to read, explain and interpret a variety of documents, policies and procedures and compose and edit correspondence and reports using proper grammar, punctuation, and spelling.
  • Typing/keyboarding skills are sufficient to perform skilled typing tasks with speed and accuracy.
  • Data entry skills are sufficient to create database records and update entries in a timely manner.
  • Word processing skills, preferably Microsoft Word, are sufficient to develop and modify a variety of memos, letters, and reports.
  • Spreadsheet skills, preferably Microsoft Excel, are sufficient to design, develop and manipulate spreadsheets.
  • Customer service skills are sufficient to provide prompt, courteous and accurate information to customers and staff over the phone, in person, and via email.
  • Communicate, read, understand, and respond to a variety of communications, such as customers' questions, purchase orders, detailed instructions and procedures, records, and distribution lists, etc.

Preferred Qualifications

  • Detail-oriented with the ability to organize and prioritize a large and varied workload and must work well under pressure to meet deadlines.
  • Advanced office management and leadership skills to plan, assign and review the work of the other OAS staff.
  • Ability to maintain a high level of confidentiality and a thorough knowledge of data privacy laws.
  • Previous experience providing executive administrative support.
  • Previous experience in maintaining processes, procedures, and guidelines.
  • Previous experience with scheduling and email software, preferably Microsoft Outlook.
  • Previous experience working in a correctional/secured environment.

Physical Requirements

Additional Requirements

The selection process may include screening the top candidate(s) on their criminal history, predatory offender registration, offender associations and/or other applicable background information in accordance with Department of Corrections’ policy. Top candidate(s) must pass a criminal history check which includes successful completion of all sentencing and/or restitution requirements of law enforcement jurisdictions, including probation.

Employment history/reference checks, including incidents of sexual harassment, will also be conducted on the top candidate(s) in accordance with Department of Corrections’ policy. This may include a review of job performance and discipline records.

New employees will be fingerprinted within the first 30 days of employment.
