POSITION SUMMARY
The Office Manager is an essential position that acts as the glue that holds MPC together. This job provides operational, administrative, and event support to ensure the organization runs efficiently and effectively. The Office Manager maintains an overarching view of day-to-day business affairs, coordinates event and office logistics, supports communications and website updates, and maintains accurate donor and registration records.
The Office Manager serves as an important point of coordination among MPC staff, ministry partners, event hosts, vendors, donors, participants, and other stakeholders.
ESSENTIAL FUNCTIONS

DUTIES
1. Office & Administrative Operations: Maintain the day-to-day administrative and business affairs of the ministry. (20%)
· Manage our organizational records, files, databases, and contact information – setting up structures that are easy for all staff to access and use.
· Coordinate office systems, supplies, vendors, and other operational needs.
· Provide administrative support to staff including scheduling meetings, preparing documents, managing communications and coordinating follow-up.
· Liaison with vendors and contractors supporting the organization’s digital platforms, office operations, and technology, including maintenance and security.
2. Event & Program Coordination: Support the planning and coordination of domestic and international ministry events. (25%)
· Manage event registration processes, including registration setup, participant information, confirmations, updates, and follow-up.
· Coordinate national event logistics such as venue arrangements, catering, transportation, audio-visual needs, supplies, and materials.
· Maintain detailed event schedules, agendas, timelines, and participant information.
· Manage on-site logistics including detailed room allocations and lodging assignments.
· Serve as a liaison among MPC, event hosts, vendors, participants, and other stakeholders to ensure event details are communicated accurately and efficiently.
3. Website, Communications & Information Management: Ensure that public facing information is accurate, current and consistent across all communication channels. (25%)
· Be the main contact for MPC, managing all correspondence through the general email address (be in relation with all constituents).
· Maintain the organization’s website for accuracy, timely updates, functionality, and consistency with the organization’s brand and mission.
· Coordinate updates, including event information, registration details, staff or ministry information, resources, news, and other approved content.
· Create and update communications materials including newsletters, brochures, event flyers, and other ministry communications.
4. Donor & Database Support: Assist with donor data management and communications. (10%)
· Record and update donor information, contributions, acknowledgments, and other relevant information in coordination with the organization’s bookkeeping and financial processes.
· Assist with donor communications, acknowledgments, reports, and related administrative follow-up.
· Maintain accurate donor, participant, contact, event, and organizational databases.
5. Financial & Budget Support: Assist with developing and tracking of budgets. (10%)
· Track expenses, invoices, receipts, and financial records in cooperation with MPC’s bookkeeping service.
· Assist with event-related purchasing, reimbursements, vendor payments, and expense reconciliation, loading receipts and designations onto the bookkeeping service portals.
· Help ensure expenditures are consistent with approved budgets and organizational policies.
6. Organizational Support: Maintain an overarching awareness of organizational priorities, upcoming events, deadlines, and administrative needs. (10%)
· Support the ministry team with special projects and organizational initiatives.
· Coordinate information and follow-up among internal and external stakeholders as needed.
· Identify logistical or administrative needs proactively and follow through to completion.
· Assist with the development, updating, and implementation of organizational policies and procedures, ensuring updates are reflected in appropriate documents, systems, and locations.
· Perform other duties as needed.

· Prior work in a non-profit or start-up organization.
· Event planning of small to midsize retreats and schools.
· Knowledge of websites, databases, registration systems, and other digital platforms.
EDUCATION
Bachelor’s degree from an accredited college or university recognized by the United States Department of Education or equivalent. May substitute relevant work experience for education on a year-for-year basis.
