Job Summary
We are seeking a dynamic and detail-oriented Accounts Payable (AP) Specialist to join our finance team. Your expertise will help streamline our accounts payable processes, support financial reporting, and maintain strong relationships with vendors and internal stakeholders. Duties
- Process and verify all incoming invoices using accounting software such as QuickBooks, Sage, or Workday, ensuring proper coding and approval.
- Perform accurate data entry of invoices, purchase orders, and payment transactions while maintaining high attention to detail.
- Reconcile accounts payable ledger with general ledger accounts regularly to ensure accuracy and resolve discrepancies promptly.
- Prepare and process payments via electronic transfer systems like Paychex, ADP, or Ceridian, adhering to scheduled payment cycles.
- Maintain comprehensive records of all transactions, including journal entries, account reconciliations, and audit documentation in compliance with SOX (Sarbanes-Oxley Act) controls.
- Collaborate with vendors and internal departments to resolve billing issues or discrepancies efficiently.
- Assist with month-end closing activities related to accounts payable and support internal audits by providing necessary documentation.
Skills
- Strong understanding of GAAP (Generally Accepted Accounting Principles) and corporate accounting practices.
- Proficiency in accounting software such as Workday, QuickBooks, Sage, PeopleSoft or UltiPro; experience with HRIS systems is a plus.
- Knowledge of accounts payable processes including invoice processing, account reconciliation, double entry bookkeeping, debits & credits.
- Familiarity with payroll management systems like ADP or Kronos and benefits administration procedures.
- Ability to perform detailed analysis of financial data and identify discrepancies or errors efficiently.
- Excellent organizational skills with high proficiency in data entry (10 key typing) and maintaining accurate records.
- Strong communication skills for effective collaboration across departments including human resources and governmental agencies.
