Position Summary
The Medical Office Assistant plays a vital role in ensuring smooth day-to-day operations of our busy clinical practice. This position requires a detail-oriented, compassionate multitasker who thrives in a high-volume setting and can balance professionalism with empathy.
You’ll be the first and last person patients interact with — setting the tone for their experience and helping deliver seamless, patient-centered care.
Key Responsibilities
- Greet and check in patients with warmth and professionalism.
- Manage scheduling, appointment confirmations, and follow-ups for multiple providers.
- Answer phones, route messages, and respond promptly to patient inquiries.
- Ensure all intake, consent, and lab forms are completed prior to visits.
- Support providers with patient flow, chart preparation, and documentation in the EMR.
- Coordinate referrals, lab orders, and outside records.
- Assist with medication refill requests and prior authorizations as needed.
- Maintain inventory and cleanliness of front office and clinical spaces.
- Protect patient confidentiality and uphold HIPAA standards at all times.
Qualifications
Required: 2 years of experience in a busy medical office or wellness clinic.
Preferred: Experience in psychiatry, functional medicine, or integrative health settings.
- Strong understanding of medical terminology and insurance processes.
- Proficiency with EMR systems.
- Exceptional communication and multitasking skills.
- Friendly, professional, and proactive with patients and team members.
- Ability to stay composed under pressure and prioritize competing demands.
