Minds On Music is an award winning music education studio in Gulf Breeze, FL, inspiring students from infants to advanced musicians for over 13 years. With innovative programs like our MusIQ® curriculum, classical competition team, rock/jazz bands, and vocal ensembles, we've grown to a 6,000 sq ft space featuring 12 teaching studios, a professional recording studio, and a performance hall. We're Florida's first Steinway Select Studio, and our students have achieved remarkable success—from Carnegie Hall performances to emerging artists like ASTN with millions of Spotify streams. As a family-oriented business with steady growth (15% ), we're seeking a reliable coordinator to support and grow our operations.
This role focuses on providing exceptional customer service, oversight and assistance to our wonderful teaching staff, and handling administrative tasks during quieter times. You'll ensure smooth daily operations, especially in the afternoons when things get busy, while fostering a welcoming environment for families. Ideal for someone who loves working with people, understands family dynamics, and can commit to consistent hours with minimal outside obligations. This is a key support position reporting directly to the owners—perfect for a semi-retired individual, empty-nester, or experienced admin ready to make an impact in a fun, musical setting.

Key Responsibilities
- Customer Service & Family Support: Greet families and students warmly, give engaging studio tours, assist new families with the rhythm of the studio , and handle new student intakes (e.g., consultations, enrollment paperwork, scheduling).
- Staff Oversight: Discreetly monitor our 11-teacher team to ensure punctuality, high standards, and a positive atmosphere; report any issues transparently and directly to owners.
- Administrative Tasks: Manage scheduling adjustments using tools like My Music Staff, Google Business Suite and Quickbooks; create and post social media content (3x/week on Facebook/Instagram); assist with SUFS (Step Up for Students) follow-ups and other billing tasks during mornings.
- Operational Support: Help resolve minor daily issues (e.g., forgotten music binder, late arrivals, etc.); contribute to a family-friendly vibe by being a considerate presence for waiting families and siblings.
- Growth Initiatives: Support enrollment drives and community events to keep our word-of-mouth momentum going. Bonus opportunities for increased enrollment.
Qualifications
Required:
- 3 years in customer service, administrative, or oversight roles (e.g., school office, retail management, or community center coordination).
- Kind but firm personality: Empathetic with families yet able to uphold standards and communicate issues honestly.
- Basic technical skills: Comfortable with scheduling software, social media, Google Workspace, and iPads.
- Availability: Reliable for 10:00AM–6:30 PM shifts most days; fewer personal obligations to ensure consistency.
- Understanding of families: Experience with children/parents (e.g., as a parent, educator, or volunteer) to relate to our parents, students and sibling dynamics.
- High school diploma; strong organizational and communication skills.
Preferred
- Background in education, arts, or music (e.g., former teacher aide or studio admin).
- College degree / some college
- Experience with homeschool programs or virtual tools (e.g., Zoom for intakes).
- Proven loyalty and transparency in past roles—references will be key.
