Overview
We are seeking a highly organized and proactive Real Estate Operations Assistant to support a growing real estate business. This role will help manage the day-to-day operational, marketing, and transaction-related tasks that keep the business running smoothly. The assistant will work closely with the realtor to coordinate listings, transactions, client communications, marketing activities, and field support. The ideal candidate is detail-oriented, comfortable multitasking in a fast-paced environment, and interested in gaining hands-on experience in the real estate industry.
Key Responsibilities
Marketing & Media
- Take property photos for listings, rentals, walkthroughs, and marketing materials
- Assist with videography for social media content, property tours, and client testimonials
- Coordinate with the remote marketing team to manage tasks, deadlines, and content approvals
- Manage and oversee the social media content posting schedule
- Ensure branding consistency across all marketing platforms
- Coordinate preparation and setup for open houses
- Assist with client gift ordering and closing coordination
- Monitor and respond to social media comments and direct messages
Calendar & Coordination
- Manage daily calendar appointments and scheduling
- Schedule buyer and seller meetings
- Confirm property showings and appointments
- Coordinate with builders, agents, and other real estate professionals
- Send appointment reminders and follow-ups to clients
Transaction & Closing Management
- Assist with closing preparation and transaction checklist management
- Coordinate DocuSign documents with clients
- Follow up on missing documentation from clients or vendors
- Forward necessary documents to lenders or other transaction parties
- Track contingency deadlines and transaction timelines
- Ensure compliance paperwork and transaction records are complete
Rental Management
- Handle rental inquiries and qualify rental leads
- Post rental listings on MLS, Zillow, Facebook groups, and other platforms
- Assist with rental property showings
- Follow up with rental applicants
- Coordinate tenant screening and application processing
Construction & Field Support
- Assist with construction walkthroughs and site visits
- Take progress photos and videos of projects
- Coordinate communication with contractors
- Track punch list items and project updates
Administrative & Operations
- Provide daily operational support and maintain records and summaries
- Handle email communication and client follow-ups
- Use real estate platforms such as Lofty, SkySlope, MLS, and CRM systems
- Maintain accurate and organized client databases
- Track lead sources and update CRM records
- Maintain Google Drive folders and digital file organization
- Prepare listing packets and buyer information packets
- Assist with miscellaneous administrative tasks and occasional errands
Qualifications
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
- High attention to detail and accuracy
- Ability to work independently and manage priorities effectively
- Proficiency with common office tools (Google Workspace, Microsoft Office, or similar software)
- Interest or prior experience in real estate, marketing, or operations support preferred
Pay: From $3,000.00 per month
