MISSIONS
The Administrative and Business Analyst role helps the Management to make the appropriate strategic decisions by supporting both the operational and strategic aspects of the organization, ensuring smooth day-to-day office operations while also driving business growth and efficiency. The Administrative part is essential to ensure the efficient operation of the office and involves a range of administrative tasks including managing schedules, accounts payable and accounts receivable duties. In your Business Analyst role, you will be responsible for collecting, analyzing, and interpreting data to provide actionable recommendations. Data-driven and budget acumen are required to ensure the profitability of our company’s activities to drive sustainable development and long-term success.
DESCRIPTIONS OF MAIN RESPONSIBILITIES (INCLUDING BUT NOT LIMITED TO)
Manage all aspects of accounting operations, including but not limited to, accounts payable:
- Invoice Processing: Receive, review, and verify invoices for appropriate documentation and approval prior to payment.
- Payment Execution: Prepare and process electronic transfers and payments, manage check runs, and ensure all payments are made timely and accurately.
- Record Keeping: Maintain and update vendor files, respond to vendor inquiries, and reconcile vendor statements.
- Reconciliation: Reconcile accounts payable transactions, resolve discrepancies, and assist with monthly closing procedures.
- Vendor Management: Maintain and update vendor files, respond to vendor inquiries, and reconcile vendor statements.
- Compliance: Ensure compliance with internal controls and accounting policies.
Manage accounts receivable:
- Payment receiving: Record and verify customers' wire transfers and payments by check.
- Reconciliation: Reconcile payments with the customer orders.
- Bank operations: Deposit check to the bank.
Store Cash Management: provide deposit of store cash to the bank.
Manage and keep under control Operating Expenses (ie Office expenses, marketing and merchandising expenses, utilities among others) while maintaining relationships with domestic and international vendors and suppliers
Conduct research and engage in negotiations to onboard new vendors for operating supplies.
Gather and analyze data from various sources, ensuring accuracy and completeness.
Focus on the US market competitors’ price analysis and wine market shares.
Identify business opportunities and areas for improvement based on data analysis on pricing engineering, purchasing costs, margins, and inventory control among others in alignment with the business goals.
Gather and interpret data on customer preferences and behaviors to help pricing decisions, in-store merchandising actions, online actions.
Present findings and recommendations to the Management to support strategic decision-making and collaborate with business departments to implement data-driven solutions and measure the impact.
Provide regular updates, insights and reports on key metrics and performance indicators.
Prepare campaign and promotion following the Management guidelines in terms of inventory depletion, margins, and sales goals. Measure the financial impact and results of the campaigns and provide recommendations.
Develop and maintain dashboards and reports to present data in a clear and actionable manner.
QUALIFICATIONS:
Bachelor’s degree in business, Economics, Statistics, Data Science, or a related field. A master’s degree is a plus.
Minimum of 2 years of experience in administration, data analysis, business intelligence, or a related field.
Excellent communication skills.
Fluent in English (spoken and written).
Proficiency in spoken and written French is a plus.
Demonstrated ability to work with cross-functional teams and manage multiple priorities.
Proficiency in accounting software preferred (e.g., SAP, QuickBooks, Oracle, Microsoft Dynamics).
Advanced computer skills (Office, Excel, Pivot Tables, etc)
Wine Retail Industry experience preferred.
Ability to handle confidential information with discretion.
Legal authorization to work in the United States
