Role Description
The Bid Coordinator is a key member of our preconstruction team, responsible for managing the bid process from start to finish. This role blends project coordination, vendor communication, and day-to-day office support to keep our estimating operations running smoothly and our bids competitive. This is an on-site position located at our office in Arlington, TX.
Key Responsibilities
Project Setup
• Download, organize, and manage project documents using Bluebeam
• Upload drawings into ConstructConnect Takeoff, hyperlinking and boxing in scope-relevant details
• Extract and organize applicable specifications, including Geotechnical reports
• Process Addenda issued after an ITB is accepted — printing, uploading, and notifying the right stakeholders
ITB & Bid Schedule Management
• Sort, review, and manage incoming Invitations to Bid (ITBs)
• Add accepted ITBs to the Bid Schedule and kick off project setup, prioritizing projects based on deadlines and workload
• Maintain and update the Bid Schedule and Estimating Log using Google Workspace
• Track the list of bidding General Contractors for each project, including their bid dates
• Partner with Business Development to coordinate GC lunches and outreach events
Vendor & Quote Management
• Set up projects in BuildingConnected and manage the Bidders List with accurate vendor contact information
• Monitor and track vendor participation throughout the bidding process
• Manage incoming quotes and respond to general pricing inquiries from vendors
Weekly Duties
• Prepare and distribute the Weekly Sales Report and updated Bid Schedule
