The Facilities Special Projects Manager will oversee commercial facilities projects from initial planning through completion while supporting field operations, vendor management, estimating, quality control, and customer communication.
This role requires someone who is highly organized, solutions-oriented, and experienced working with national account clients, vendor portals, technicians, subcontractors, and fastmoving facilities environments.
The ideal candidate has real-world trade experience, understands how work is actually performed in the field, and can confidently lead projects while also stepping in to support technicians or troubleshoot issues when needed.
Essential Job Functions
Project & Facilities Management
- Manage commercial facilities projects, service work and special projects throughout Florida and Georgia
- Coordinate technicians, subcontractors, vendors, materials, schedules and client communication
- Ensure projects stay on schedule, within budget, and aligned with company margin goals
- Identify and resolve potential project roadblocks proactively
- Conduct site visits, project meetings, conference calls and client walkthroughs
- Maintain strong communication with facility managers and client representatives
- Oversee project closeout, punch lists, documentation and completion requirement
Vendor & Technician Management
- Manage W-2 technicians and subcontractor relationships
- Source, vet, and onboard new vendors across multiple trades
- Negotiate vendor pricing and maintain quality vendor partnerships
- Assist with field management, quality assurance, and safety oversight
- Provide technical guidance and troubleshooting support to field teams
- Support after-hours and overnight projects as needed
Estimating & Financial Oversight
- Develop estimates and proposals while maintaining target profit margins
- Understand NTEs, budgets, cost controls and expense management
- Read plan, perform takeoffs, and assist with plan reviews
- Track project expenses accurately and promptly
- Ensure work is completed efficiently and profitably
Permitting & Compliance
- Manage permitted projects and coordinate inspections
- Maintain building department portals and permit documentation
- Schedule inspections and ensure project closeout compliance
Education and Experience
- Minimum 5 years of experience in commercial facilities maintenance, special projects or small to mid-size construction project management
- Bachelors Degree in related field and/or PMP certification preferred
- Strong understanding of budgets, profit margins, NTEs and estimating
- Experience working with national chains or multi-location commercial clients
- Experience using vendor portals and CMMS platforms
- Strong trade knowledge and hands-on field experience required
- Experience managing technicians and subcontractors
- Established vendor relationships across Florida and/or Georgia preferred
- Ability to work independently with minimal supervision

Working Conditions

- Estimated 30% travel throughout Florida and Georgia
- Ability to lift up to 50 pounds, climb ladders, load/unload materials without assistance for warehouse organization
- Must be able to pass background checks and security screenings required by certain clients and facilities
