Overview
We are seeking a motivated, detail-oriented, tech-savvy Billing Specialist. This role is responsible for managing and coordinating the entire billing process, ensuring accurate and timely invoicing, and providing excellent customer service related to billing inquiries. They also work to reconcile and resolve any discrepancies in billing data, as well as maintain detailed records of payments and debits.
Responsibilities
- Prepare, issue, and track customer invoices, ensuring accuracy and adherence to company policies
- Assist in gathering pertinent job information such as: Time Sheets, Work Vouchers, and Project-Related Expenses.
- Process time entry/validation of field technicians.
- Verify invoice pricing against contracts and agreements, ensuring accuracy and consistency.
- Address customer inquiries regarding invoices, resolve billing disputes, and provide professional customer service.
- Identify and implement improvements in invoicing processes, such as streamlining workflows and using technology.
- Perform clerical duties including data entry and maintaining accurate records.
- Support various administrative tasks as needed to enhance operational efficiency.
- Reporting to work ready & fit for duty, with timely attendance.
- Other duties as they arise.
Qualifications
- Minimum of 3 years of Invoicing and Job Costing Experience.
- Very proficient in using Microsoft Office Suite, specifically Excel.
- Strong data entry skills with attention to detail.
- Experience with data entry and management within an ERP system.
- Excellent phone etiquette and communication skills.
- Highly organized with the ability to manage multiple tasks simultaneously.
- Self-starter with the ability to take initiative and complete tasks without constant direction.
- Capable of working independently as well as collaboratively within a team environment.
- Strong proofreading skills to ensure high-quality documentation.
- Works efficiently to meet deadlines while identifying and prioritizing tasks.
- Proven experience in clerical or administrative roles is preferred.
- Strong data entry skills with attention to detail.
