About the Position
Millburn Stables is seeking a motivated, personable, and highly organized Venue Sales & Events Manager to take ownership of the venue’s sales process and help execute successful events.
This is an ideal opportunity for someone who enjoys building relationships, giving venue tours, closing sales, and seeing events through from the initial inquiry to the final celebration.
The venue currently hosts approximately 20–30 events annually, and we are actively working to increase bookings. This position will begin as a part-time hourly role, with the potential to transition into a full-time position as sales and event volume grow.
Because the position requires regular onsite availability, candidates who live in or near Lake Villa and the surrounding area are strongly preferred.
Primary ResponsibilitiesVenue Sales
- Respond promptly and professionally to new phone, email, website, and social media inquiries
- Speak with prospective clients to understand their event needs, budget, preferred date, and vision
- Schedule and conduct private venue tours
- Present venue packages, catering options, enhancements, and available services
- Prepare customized proposals, pricing, and agreements
- Follow up consistently with prospective clients
- Guide clients through questions, concerns, and decision-making
- Negotiate within approved pricing guidelines
- Close bookings and collect required contracts and deposits
- Maintain accurate client and sales information in the company’s event-management system
- Track leads, tours, proposals, bookings, and lost business
- Develop relationships with planners, vendors, and other referral partners
- Help identify opportunities to increase venue bookings and revenue
Event Planning and Coordination
- Serve as the primary contact for booked clients
- Guide clients through the planning process from booking through event completion
- Schedule and conduct planning meetings and final venue walkthroughs
- Confirm timelines, layouts, guest counts, vendor information, rentals, catering, bar service, and other event details
- Prepare and maintain accurate event orders, floor plans, timelines, and internal notes
- Communicate final event details clearly to the catering, operations, and venue teams
- Ensure all client payments, documents, and final details are received by the required deadlines
Event-Day Management
- Be onsite for assigned weddings, private events, corporate functions, and venue activities
- Serve as the main venue contact for the client and participating vendors
- Confirm that the venue is properly set, clean, presentable, and ready before guest arrival
- Coordinate vendor arrival, setup, event timing, and breakdown
- Work closely with the catering and service teams to ensure proper execution
- Monitor the event timeline and address issues quickly and professionally
- Protect venue policies while maintaining a positive client and guest experience
- Complete a post-event walkthrough and document any damages, missing items, or follow-up needs
Qualifications
- Previous experience in venue sales, catering sales, hospitality, event planning, wedding coordination, or a related position is strongly preferred
- Comfortable conducting tours, presenting pricing, following up with leads, and asking for the sale
- Strong communication, organization, and customer-service skills
- Able to manage multiple clients, deadlines, and event details simultaneously
- Professional, dependable, resourceful, and comfortable working independently
- Available to work select evenings, weekends, and event days
- Comfortable using email, spreadsheets, event-management systems, and basic office software
- Reliable transportation and the ability to work onsite at Millburn Stables
- Knowledge of the Lake Villa and surrounding wedding market is a plus
