SUMMARY OF JOB
The Activity Center Director at the GreenState Millard Activity Center (“the Center”) will serve as the operational and administrative and revenue-generating leader responsible for all aspects of the Center’s management on behalf of the Millard Public Schools Foundation. This position provides comprehensive oversight of the Center’s operations, including facility operations and maintenance, staffing and leadership, financial performance and revenue growth, budgeting, programming and event coordination, community engagement, marketing and digital communications, technology systems and reporting, and compliance and safety.
The Director is accountable for meeting revenue projections, maximizing facility utilization, and developing new and expanded programs, partnerships, and events that drive earned revenue while maintaining operational excellence.
KEY RESPONSIBILITIES
- Facility Operations & Maintenance
- Oversee daily operations of all courts, fields, and shared spaces at the Center, ensuring safety, cleanliness, and readiness for practices, competitions, and community events.
- Develop and manage preventive maintenance plans; coordinate with district maintenance staff, vendors, and contractors.
- Ensure compliance with all local, state, and district safety regulations and accessibility standards.
- Collaborate with the district facilities department on long-term capital planning, equipment replacement, and infrastructure projects.
- Oversee operations of the on-site Outdoor Adventure Course, including coordinating logistics, managing facility rentals, and implementing safety training programs to ensure a safe and engaging experience for all participants.
- This position will require regular in-office presence at the Foundation office approximately one day per week and may vary based on meetings, collaboration needs, or operational priorities.
- Staffing & Leadership
- In collaboration with Foundation staff, recruit, hire, train, and supervise full- and part-time operations, maintenance, and event personnel.
- Establish clear performance standards, conduct regular evaluations, and promote a positive, team-oriented culture.
- Lead staff meetings and training focused on safety, customer service, and operational excellence.
- Foster an inclusive, youth- and education-centered environment consistent with district and Foundation values.
- Financial Management & Budgeting
- Develop and manage the Center’s annual operating budget in collaboration with the Millard Public Schools Foundation finance staff.
- Actively manage the Center as a revenue-generating enterprise, balancing earned revenue growth with cost control and service quality.
- Track revenues, expenses, and payroll; maintain accurate financial and operational records.
- Prepare and manage invoicing for rentals, programs, and partnerships in accordance with Foundation procedures.
- Maximize utilization of courts, fields, and event spaces by proactively developing, marketing, and scheduling revenue-generating programs, rentals, tournaments, leagues, and special events.
- Develop and implement new earned-revenue initiatives that align with the Foundation’s mission while strengthening the Center’s long-term financial sustainability.
- Identify cost-saving measures and negotiate vendor contracts for supplies and services.
- Support Foundation fundraising, sponsorships, and grant initiatives that enhance programming and facility resources.
- Prepare regular financial and utilization reports comparing actual performance to revenue projections and budgeted expectations, and present results and improvement strategies to Foundation leadership.
- Programming & Event Coordination
- Plan and coordinate tournaments, leagues, camps, clinics, and community events that align with district and Foundation priorities.
- Collaborate with school athletic directors, coaches, and youth club partners to optimize scheduling, field/court assignments, and logistics.
- Oversee facility setup, staffing, and event execution to ensure smooth operations.
- Support the development of feeder programs and partnerships that expand athletic opportunities for Millard students.
- Customer Service & Community Engagement
- Serve as primary point of contact for schools, coaches, parents, and community partners; respond promptly and professionally to inquiries and feedback.
- Collaborate with the Foundation’s marketing and communications staff to promote Center programs, events, and community rentals.
- Build and maintain relationships with district departments, booster clubs, youth organizations, and recreation groups to encourage shared use and community support.
- Represent the Center at community meetings and events, promoting its role as a district and community asset.
- Marketing, Communications & Digital Engagement
- Maintain and regularly update the Center’s website, event calendar, and online registration platforms to ensure accurate program and event information.
- Coordinate closely with the Community Relations Manager at the Foundation to ensure alignment in messaging, brand consistency, and outreach.
- Develop and distribute email communications and digital newsletters to engage families and community members about upcoming opportunities.
- Capture and organize photos, videos, and testimonials to support Foundation marketing, sponsorship, and storytelling efforts.
- Monitor website and social media engagement metrics and provide quarterly performance summaries.
- Oversee digital signage, livestreaming, and scoreboard systems for Center events.
- Technology Systems & Data Reporting
- Administer and maintain scheduling, registration, and facility management software (e.g., EZFacility, eSoft Planner, or similar).
- Coordinate with district IT for network access, Wi-Fi, and technology support.
- Track and analyze key performance metrics including rental utilization, attendance, and financial performance, and prepare reports for Foundation and district leadership.
- Use data insights to recommend operational improvements and support strategic planning for the Center.
- Compliance & Safety
- Maintain and enforce safety, security, and emergency procedures consistent with district and Foundation policies.
- Ensure all staff maintain current CPR/AED and First Aid certifications.
- Conduct regular inspections and risk assessments; document findings and corrective actions.
- Coordinate with the district safety office for drills, reporting, and compliance updates.
QUALIFICATIONS
- Bachelor’s degree in Sports Management, Recreation, Business Administration, Education Administration, or related field preferred.
- Minimum 3–5 years of experience in facility or athletic operations management preferably within a school, municipal, or nonprofit setting.
- Demonstrated ability to manage staff, budgets, and programming in alignment with public-sector or foundation policies.
- Strong leadership, communication, and interpersonal skills with the ability to collaborate across departments and community organizations.
- Excellent organizational and multitasking abilities in a dynamic, event-driven environment.
- Proficiency with facility management, scheduling, and communication software and Microsoft Office Suite.
- Working knowledge of website content management, social media management, and basic digital marketing tools.
PHYSICAL REQUIREMENTS
- Ability to react and move quickly.
- Ability to lift, push and carry 40 lbs., sit for 30 minutes and/or stand for at least one hour.
- Be able to use all fingers on both hands and have use of both legs and be able to walk 500 feet.
- Have near and far vision (correctable) and depth perception.
