Position Summary:
We are seeking a highly organized and caring Family Services Coordinator to join our growing team. This role serves as the central point of contact between our families and therapy teams, ensuring that services are scheduled accurately, efficiently, and with sensitivity to family needs.
From coordinating initial ABA therapy hours to navigating schedule changes with Registered Behavior Technicians (RBTs), you’ll play a vital role in keeping things running smoothly and ensuring families feel supported every step of the way.
Key Responsibilities:
Serve as the primary liaison between families and Milestones Moments scheduling team
Coordinate therapy schedules between families and RBTs, ensuring accurate implementation of authorized ABA service hours
Manage ongoing changes or conflicts in schedules, keeping all parties informed and aligned
Communicate professionally and empathetically with families regarding service updates, staffing changes, or rescheduling needs
Track and document schedule updates, availability, and service coverage in our internal systems
Collaborate with clinical supervisors and operations team to ensure continuity of care
Proactively address issues related to attendance, cancellations, or coverage gaps
Support onboarding coordination for new clients and assist with service start-up logistics
Qualifications:
Prior experience in client coordination, scheduling, healthcare services, or administrative support (ABA or behavioral health preferred)
Excellent organizational and time management skills
Strong interpersonal and verbal communication abilities
Ability to work with sensitivity and professionalism in family-facing conversations
High attention to detail and ability to multitask in a fast-paced environment
Comfort using scheduling systems, calendars, and case management platforms
A team player with a service mindset and proactive attitude
High school diploma required; associate’s or bachelor’s degree preferred
