MikeWorldWide is looking for a Client Finance & Operations Manager to support finance operations to help keep complex, multi-teamwork running smoothly, especially in regulated industries where accuracy, documentation, and financial compliance are crucial. This role supports financial tracking, staffing, vendor coordination, and compliance processes across up to twenty-five (25) active agency accounts, working within a single P&L, fully integrated operating model. You will partner closely with account, paid media, creative, operations, finance, and accounts payable teams to ensure work is scoped efficiently and correctly as well as billed accurately and documented thoroughly.


What You will Do:


Client Financial Operations & Reconciliation:

  • Be a trusted, strategic advisor to the client service team through proactive, transparent communication and reliable reporting.
  • Function as the client’s main point of contact for financial matters, including scope and billing negotiations, budget updates, responses to inquiries about invoicing, payment details, contract terms, scopes, and/or POs generation.
  • Conduct weekly and/or semi-monthly analysis of labor and expenses to monitor and maintain spend pacing against approved budgets for up to twenty-five (25) client accounts.
  • Ensure financial compliance with client MSAs and scopes, including tracking rates, discounts and terms for compliance while ensuring deliverables, performance metrics and milestones are met.
  • Partner with team leads to build staffing plans that are cost effective and maximize productivity while aligning workforce capacity with client goals, ensuring the right people with the correct skills are available to meet fluctuating demand.
  • Promote and implement operational workflow improvements with an eye towards increased margins, process efficiencies, and reduced costs.
  • Liaise with finance on alignment between revenue forecasts and billed revenue.
  • Assist the treasury department with accounts receivable collection.
  • Collaborate with the legal team on MSA negotiations, contract renewals, and scope parameters to uphold compliance while mitigating risk.
  • Support monthly billing, including invoice preparation, review, and reconciliation.


Vendor Management

  • Track vendor costs across media and production partners.
  • Review and reconcile vendor invoices against approved budgets and scopes.
  • Foster vendor relationships to sustain long term value.
  • Uphold and monitor pay when paid parameters.
  • Ensure vendor spend aligns with approved scopes and budgets.
  • Harmonize with the accounts payable team to mitigate risk and discrepancies.
  • Orchestrate resolutions and correction of multi-faceted vendor issues by guiding parties into alignment.
  • Partner with accounts payable team to ensure accurate invoicing and reporting.


Cross-Functional Compliance Support:

  • Serve as financial operations liaison point of contact for paid media, creative, accounts payable, and finance teams.
  • Maintain documentation to support approvals, audits, and reporting requirements.
  • Support workflows across regulated industries with defined protocols and internal standards.


Qualifications:

  • 4 to 6 years in finance operations, revenue operations, agency finance, or client financial management
  • Experience managing billing, invoicing, budgets, and reconciliations.
  • Strong attention to detail with the ability to manage multiple financial workflows at the same time.
  • Experience working in environments with strict compliance, approvals, and documentation standards.
  • Focus on effective strategies through clear communication.
  • Ability to understand and navigate diverse perspectives.
  • Comfort working with complex budgets and analysis of time and materials.
  • Ability to manage multiple priorities and accounts simultaneously.
  • Strong attention to detail, organization, and communication


Preferred Experience:

  • Experience in energy, utilities, healthcare, financial services, or similar regulated sectors
  • Experience working in integrated marketing teams or agency environments.
  • Familiarity with media billing and vendor heavy account workstreams.
