Job Summary :
As an Office Receptionist & Management Support, you will be responsible for creating a welcoming environment for visitors and clients while providing assistance to our management team to ensure smooth office operations. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced setting.
Key Responsibilities :
- Customer Service Support : Greet visitors, answer inquiries, and direct them to the appropriate personnel in a professional and friendly manner.
- Provide general administrative support, including answering phones, responding to emails, responding to text messages, chat feature, owner portal and managing other forms of correspondence received.
- Respond to resident inquiries, complaints, and concerns in a timely and professional manner. (1 business day).
- Open mail daily and distribute accordingly.
- Maintain and organize electronic and physical filing systems.
- Assist with document preparation, data entry, and report generation.
- Support team members in various projects and tasks as required.
- Support Administrative team members
- Function as a liaison between departments, clients, and vendors.
- Perform other administrative duties as assigned.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively in a team environment.
- Attention to detail and problem-solving skills.
- Ability to manage confidential information with discretion.
- Experience in office management or executive support.
- Knowledge of basic bookkeeping.
- Full-time position with standard office hours.
- Occasional overtime may be required based on business needs.
- Support various departments with special projects and tasks as needed.
- Collaborate with the team to improve office processes and procedures.
