Receptionist

Position Summary:

The Receptionist is responsible for providing administrative support and ensuring smooth office operations. This role includes managing incoming and outgoing mail, answering multiple phone lines, maintaining schedules and creating a welcoming environment for customers and staff.

Core Functions:

• Sort and label invoices accurately for timely processing.
• Manage incoming and outgoing mail with accuracy and proper postage.
• Answer and direct a variety of incoming calls professionally.
• Reconcile vendor statements with accounting software for accuracy.
• Order office and cleaning supplies as needed.
• Greet visitors and maintain a positive, welcoming atmosphere.
• Perform other duties as assigned.

Required Skills/Abilities:

• Communication Skills – Clear verbal and written communication for interacting with clients and staff.
• Customer Service – Ability to create a welcoming environment and handle inquiries professionally.
• Organization – Managing schedules, mail and office supplies efficiently.
• Multitasking – Handling multiple phone lines, and administrative tasks simultaneously.
• Attention to Detail – Ensuring accuracy in mail distribution, invoice sorting, and data entry.
• Time Management – Prioritizing tasks to meet deadlines.
• Technical Skills – Proficient in Microsoft Office Suite

Education and Experience:

• High School Diploma or GED required.
• 1-2 years of administrative or receptionist experience preferred.

Physical Requirements:

• Prolonged periods of sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds occasionally.
