Job Overview

We are a growing, family-owned recycling company seeking a dependable and organized individual to help coordinate the daily operation and maintenance of our local truck and container fleet.

This is a newly developed position that combines dispatch coordination, container tracking, driver communication, and maintenance organization. Our fleet is manageable in size, approximately 10 trucks operating locally at any given time, but includes multiple container and equipment types that must be tracked and coordinated throughout the day.

The right person will become the central point of contact for drivers, equipment operators, mechanics, and management. This role is intended to improve communication and organization so our experienced mechanics can remain focused on repairs rather than repeatedly stopping to answer calls, track down information, or coordinate incoming maintenance needs.

This is not a nationwide fleet-management position or a traditional supervisory role. It is a hands-on coordination position within a small, family-run business. We are looking for someone who is eager to learn, comfortable accepting responsibility, and interested in helping develop a more organized and efficient system.

Primary Responsibilities

  • Coordinate and dispatch approximately 10 local trucks based on daily operational needs
  • Track containers, trailers, and other company equipment across multiple locations
  • Maintain accurate information regarding container type, location, availability, and status
  • Communicate assignments, schedule changes, priorities, and equipment needs to drivers
  • Receive and document maintenance requests from drivers, operators, and other employees
  • Serve as the main communication point between drivers, mechanics, management, and outside repair vendors
  • Organize maintenance requests by urgency, equipment availability, and operational impact
  • Help schedule preventative maintenance, inspections, repairs, and outside service appointments
  • Maintain records of open repairs, completed work, parts needs, service dates, and equipment downtime
  • Follow up on repair status and communicate updates to the appropriate employees
  • Assist with ordering, locating, and coordinating parts and service when needed
  • Help identify recurring maintenance problems and equipment requiring additional attention
  • Maintain daily dispatch, equipment, and maintenance logs
  • Assist with other fleet, shop, and operational duties during slower periods 1

What We Are Looking For

  • Strong organizational and communication skills
  • Ability to manage multiple requests and changing priorities throughout the day
  • Comfort speaking with drivers, mechanics, equipment operators, vendors, and management
  • Willingness to learn trucking, containers, equipment, and basic maintenance terminology
  • Dependability and the ability to follow issues through to completion
  • Basic computer, email, spreadsheet, and recordkeeping skills
  • Ability to remain calm and organized when unexpected equipment or scheduling problems arise
  • A practical, team-oriented attitude
  • Previous dispatch, transportation, heavy-equipment, mechanical, logistics, or shop experience is helpful but not necessarily required

Important Position Expectations

This employee will not be responsible for supervising or directing the work of our senior mechanics. Instead, the position will support them by organizing incoming maintenance needs, collecting accurate information, maintaining repair records, and reducing unnecessary interruptions.

The position may include periods of slower activity between dispatch and maintenance needs. During those times, the employee will assist with recordkeeping, preventative maintenance tracking, equipment organization, parts coordination, and other operational projects.

We are willing to train the right individual. The ideal candidate is someone who wants to grow into an important long-term role and take ownership of improving the way our trucks, containers, and maintenance requests are coordinated.
