JOB TITLE: Supervisor, Medical Receptionist
IMAGING CENTER LOCATIONS: Main: Coon Rapids, Others: Maple Grove, St. Paul and Burnsville.
EXEMPT STATUS: Exempt
REPORTS TO: Clinic Operations Manager
SUPERVISORY RESPONSIBILITY: Supervises the Reception department and oversees department protocols, procedures and staffing.
SUMMARY OF POSITION: Responsible for overseeing all functions of the Receptionist all North Clinics. Responsible for greeting, scheduling and checking-in patients.
ESSENTIAL FUNCTIONS:
• Provide staffing support as needed in the Reception Department.
• Maintain appropriate staffing levels to meet department workloads
• Supervise staff, including hiring, performance management and terminations
• Represent the department for workflow and process issues, when working with other departments in the company.
• Develop and maintain procedures and protocols for the department in partnership with radiologists, clinic management, IT and staff.
• Work with Reception departments on any issues with radiologists, clinic staff, referring clinics and patients.
• Greet patients, check photo id's, answer phones and schedule patient exams.
• Verify patient information and copy insurance documents.
• Scan documents into Centricity.
• Contact patients to confirm appointment time and exam preparation.
• Print charts for next day.
• Print CD's and reports for patient's (responsible for obtaining "Release of Medical Information" from patient).
• Look up labs and reports in Excellian.
• Responsible for handling all 911 calls and directing EMT's where to go.
• Assist radiologists, clinic staff, referring clinics and patients on scheduling issues.
• Act as a back-up for Schedulers, Tech Assistants.
• Incorporate company values into daily interactions with internal and external customers.
• Other duties may include, but are not limited to general clerical tasks, training employees (if a senior receptionist is not available), stocking and/or ordering department supplies and assisting in other departments.
QUALIFICATIONS:
• H.S Degree or equivalent required.
• 2 years receptionist, scheduling or customer service experience required, preferably in a medical setting.
• 2 – 4 years’ experience leading a department and staff.
• HUC or related medical administrative certification preferred.
• Knowledge of medical terminology preferred.
• Excellent customer service/patient care skills required.
• Ability to prioritize tasks; work independently and in a team required.
• Excellent verbal and written communication skills; effective communication with patients, referring clinics, employees, supervisors and the radiologists required.
• Must be detail oriented.
• Demonstrate knowledge of safety-related work behaviors to ensure a safe work environment.
• Ability to coach and manage conflict with staff.
• Must be competent in using a computer keyboard, email and medical scheduling systems.
DAILY PHYSICAL DEMANDS REQUIRED FOR PERFORMING ESSENTIAL FUNCTIONS
OF THE JOB:
Working in office environment. Requires sitting for long periods of time. Some bending and stretching required. Requires lifting papers or boxes up to 50 pounds occasionally. Repetitive motions, keyboarding, twisting, turning, gripping and grasping.

Normal environmental conditions.
Salary : $56,600 - $72,000
