What are the responsibilities and job description for the Operations QA Specialist position at Midwest Maintenance?
Operations Coordinator
Full-Time | Exempt | $50,000–$55,000 | Reports to: Regional Operations Manager
The Role
This isn't a "keep the lights on" role — it's the analytical backbone of a regional operation. You'll own the data, the reports, and the details that leadership depends on to make decisions. If you take personal pride in accuracy, have strong Excel instincts, and prefer working with systems over managing large groups of people, this role was built for you.
You'll work closely with the Regional Operations Manager and serve as a critical link between regional and director-level leadership — translating operational complexity into clean, reliable reporting.
What You'll Own
- Build, maintain, and distribute operational reports that leadership actually uses — timekeeping, staffing, budget, and discrepancy analysis
- Ensure spreadsheets, documentation, and data outputs meet a high standard of accuracy (pivot tables and VLOOKUPs are your native language)
- Support Area Managers with the administrative infrastructure that keeps sites running: scheduling, documentation, inventory tracking
- Manage new account start-ups and onboarding workflows from a process and coordination standpoint
- Coordinate travel planning, meeting logistics, and project documentation with minimal oversight
- Conduct occasional regional site visits to stay grounded in how operations function on the ground
- Assist HR with recruitment and onboarding as well as Job Fairs
Who You Are
- Detail-obsessed — you find errors others miss and you care about getting it right
- Proficient in Excel at an advanced level (VLOOKUP, pivot tables, formula logic — not just "familiar with")
- 2 years in an operations, coordination, or administrative support role
- Comfortable communicating clearly and professionally — you don't need to be the loudest person in the room, but you can hold your own in cross-functional conversations
- Able to manage shifting priorities without losing track of accuracy
- Valid driver's license and willingness to travel regionally as needed
Why It Works for You
- Structured environment with clear processes and reporting frameworks
- Work product is tangible, measurable, and yours
- Limited direct reports — you influence through expertise, not headcount
- Recognition tied to precision and results, not politics
Pay: $50,000.00 - $55,000.00 per year
Application Question(s):
- When are you available to begin this position?
- How many years of Excel experience do you have? This will be tested at the final stage of interviewing.
- This is a half in-office, half field position Monday-Friday 8am-5pm, will you be able to accommodate this schedule?
