We are seeking a highly organized and proactive Office Assistant to provide support in a one-on-one working relationship with the CEO of the Real Estate Management & Development Company. The ideal candidate will possess exceptional communication skills, a keen eye for detail, and the ability to manage multiple tasks efficiently. This role is pivotal in ensuring smooth operations within the executive office and requires a blend of administrative expertise and interpersonal skills. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community-oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong math, written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Responsibilities:
- Completes a broad variety of administrative tasks for the CEO including: interacting with accounting department; managing an active calendar of appointments; completing income and expense reports; composing and preparing correspondence that is sometimes confidential.
- Daily activities: Includes organizing and understanding work documents (electronic and paper form) both in regard to the importance of the information and when the information should be scheduled to work on.
- Act as an interface between senior management, staff, and vendors: coordinating meetings, schedules, reviews and follow-up.
- Route and complete various paperwork throughout the company, including letters, contracts, invoices, checks, an email correspondence.
- Organize and file documentation for business and personal matters.
- Draft, review and finalize new asset Limited Liability Companies and Partnership Agreements created off of prior base agreements.
- Coordinate and finalize assignments and closing for new purchases and refinances.
- Filing annual compliance and reports for entities in various states.
- Liaison for outside counsel on litigation matters.
- Maintain detailed portfolio asset entity list.
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Familiarity with project coordination principles.
- Excellent proofreading skills with attention to detail in written communications.
- Ability to handle confidential information with discretion.
- Strong interpersonal skills with a customer service-oriented mindset.
- Proficient in data entry and clerical tasks, ensuring high levels of accuracy.
Education and Experience Required:
- Bachelor’s degree (preferred)
- Paralegal Skills (preferred)
- Three ( ) years of experience supporting executives (preferred)
- Experience and interest in internal and external communications
- Strong work ethic
- Proficient in Microsoft Office, Adobe Acrobat, and working knowledge of Yardi Property Management (preferred)
