Job Title: HR Specialist: HRIS & Certification
Reports to: Asst. Supt for Human Resources

Primary Purpose:
Provide support for daily human resources operations. Handle routine HR inquiries to ensure a high level of service and responsive, knowledgeable support for employees and their supervisors. Explain HR policies and practices to employees as appropriate.
Qualifications:
Education/Certification:
High school diploma or GED
Bachelor’s degree, preferred
Special Knowledge/Skills/Abilities:
Proficiency in keyboarding and file maintenance
Ability to use software such as Microsoft Office and Google Suites
Excellent organizational skills
Effective communication and interpersonal skills
Experience:
3 years of clerical experience
1 year of experience in human resources in public education, preferred
Ability to speak Spanish, preferred but not required
Major Responsibilities and Duties:
Certifications:
1. Compile, maintain and file certifications for all certified or licensed professionals, paraprofessionals and auxiliary employees.
2. Follow-up with employees to ensure completion of certification requirements within established timelines.
3. Process SBEC permit applications and monitor permit status.
Service Records & Transcripts:
4. Load, file and maintain service records in the HRIS system.
5. File and maintain official transcripts in the HRIS system.
6. Process requests for official district records and maintain log of records requests.
HRIS Data Entry:
7. Prepare and submit information required for processing employee payroll and work cooperatively with payroll and other HR staff to ensure accuracy.
8. Assist with the coordination of the annual salary change process and monitor adjustments to ensure accuracy.
9. Enter, update, and maintain accurate position data to include salary changes and separations.
Records:
10. Operate and maintain the HRIS, including data entry and reports. i.e. Frontline (AESOP), PowerSchool platforms, FileMaker databases, etc.
11. Provide support to all users of the HR systems to ensure correct usage.
Other:
12. Prepare monthly reports for principals as assigned.
13. Process all Interns onboarding and offboarding.
14. Enter and update employee information in central database.
15. Respond to requests for letters of intent to hire.
16. Assist with the preparation and distribution of employment contracts.
17. Assist with new hire orientation.
18. Other duties as assigned.
