About the role: The Administrative Assistant provides front-desk coverage and general office support. This role ensures the office runs smoothly, assists internal teams, maintains organized filing systems, and supports day-to-day administrative and clerical functions.


Key Responsibilities

  • Answer phones, greet visitors, sort/distribute mail, and manage general inboxes.
  • Create and maintain project and vendor files; assist with shipping outgoing mail/packages.
  • Responsible for scanning and uploading job files into Revver
  • Organizing and maintaining physical file systems, and managing year-end file transitions, including archiving documents to storage and shredding materials that are no longer required. We maintain a seven-year file retention process onsite.
  • With Business Central coming soon, scanning may not remain as critical, and we’re still evaluating how this process will evolve. The other responsibilities, such as phone coverage and day-to-day admin and clerical tasks, will continue to be important.


Qualifications

  • Strong communication and organizational skills.
  • Comfortable with multitasking and customer prioritization.
  • Office/admin experience required; HVAC/distribution experience is a plus.
  • Demonstrates strong customer service skills with a positive, upbeat attitude when answering phones, greeting customers, directing calls, and serving as a primary point of contact.

Schedule: Monday–Friday, 8:00 AM – 5:00 PM

Compensation: $20-23/hour
