Overview
The Substitute Certification Coordinator is responsible for processing and managing substitute teach certification applications for school districts and private schools within Middlesex County. This position ensures compliance with New Jersey Department of Education certification requirements, provides guidance to applicants and educators, and maintains accurate documentation of certification records.
Responsibilities:
- Provide guidance to applicants and educators through correspondence, email, telephone, and in-person interactions regarding substitute certification requirements and application procedures.
- Assist applicants and educators with the criminal history background check process and monitor approval status.
- Review and evaluate substitute certification application documentation to determine eligibility, grant approval, or notify applicants of missing or incomplete requirements on NJEDCERT.
- Monitor and follow up on pending substitute credential application files to ensure timely and accurate processing.
- Review and document Emergent Hire requests and track substitute service limits for public school districts and private schools within Middlesex County.
- Maintain accurate and confidential records related to substitute certification applications and approvals.
- Provide in-person assistance and customer service to applicants visiting the office for certification information and support.
- Communicate with school district personnel, private schools, and the New Jersey Department of Education regarding substitute certification status and requirements.
Knowledge, Skills & Abilities:
- Knowledge of New Jersey Department of Education certification requirements is preferred.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Experience in education administration, certification processing, or office administration preferred.
Qualifications & Experience:
- Minimum of 1 year of experience in administrative support, or related office/administrative roles required.
- Experience working with application processing, records management, or credentialing systems is preferred
The anticipated starting base pay for this position is:
- $50,000 - $55,000 per year, depending on experience and qualifications.
