Full-Time Client Service Associate (Non-Registered)
Location: Staunton, VA
Compensation: $70,000-$85,000 Annually (based on experience)
Schedule: Monday–Thursday, 8:30 AM – 4:30 PM, Friday, 8:30 AM – 4:00 PM (Full-time, on-site)
Position Overview
The Client Service Associate plays a key role in supporting Financial Advisors and delivering a high level of service to our clients. This position focuses on maintaining accurate client account information, assisting with operational and administrative tasks, and helping advisors gather and process client documentation.
The Client Service Associate works closely with advisors and the client service team to ensure client accounts are properly maintained, paperwork is processed efficiently, and client requests are handled in a timely and professional manner.
This role is based in the Staunton office and requires on-site presence during standard business hours.
Essential Duties & Responsibilities
Client Account Support
- Assist Financial Advisors by servicing client accounts and maintaining accurate client records.
- Collect and organize client documentation required for account updates, new accounts, and service requests.
- Ensure client profiles, contact information, and account records remain current in firm systems.
- Follow up with clients to gather required information or documentation when needed.
- Assist with account maintenance requests such as beneficiary updates, address changes, and other service-related items.
Advisor & Office Support
- Provide operational and administrative support to Financial Advisors.
- Assist in preparing documents and materials for client meetings and account reviews.
- Coordinate and track paperwork for new accounts, transfers, and account updates.
- Help ensure all documentation is processed in accordance with compliance requirements.
- Assist advisors with correspondence and client communications when needed.
Client Communication
- Serve as a professional point of contact for clients regarding service-related requests.
- Respond to client inquiries and direct requests to the appropriate team members when necessary.
- Follow up with clients regarding outstanding documentation or account updates.
- Maintain a high level of professionalism and responsiveness in all client interactions.
Administrative & Operational Duties
- Maintain organized client files and internal records.
- Assist with scheduling client meetings and preparing meeting materials when needed.
- Support internal office operations and collaborate with remote team members.
- Assist with occasional client events or seminars hosted by the firm.
Qualifications
- Strong interpersonal and communication skills (written, phone, and in-person).
- Previous experience in client service, financial services, banking, or administrative support preferred.
- High attention to detail and ability to manage sensitive client information.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and ability to quickly learn internal systems.
- Self-motivated, dependable, and comfortable working in a collaborative team environment.
Licenses / Certifications
- Not required for this role, though financial industry experience is a plus.
- Background check (criminal and financial) and fingerprinting required per industry standards.
