POSITION SUMMARY
The Materials Management Clerk promotes the most effective use of hospital funds in the acquisition of assigned commodities. Acts as the official agent for the hospital under the direction of the Director of Materials management. Is responsible for performing clerical duties including the processing of information from vendors, closing out all purchase orders with matching receivers, and working as a liaison with the Accounting Department regarding Accounts Payable. Acknowledges and responds appropriately to the hospital’s customer relations philosophy, including the five fundamentals of the AIDET program.
% OF TIME POSITION ACCOUNTABILITIES
50% 1. The Materials Management Clerk determines quantities to buy and works to constantly improve the entire process through vendors and hospital departments. Work to make hospital purchases through GPO when possible. Provide outstanding customer service to the hospital departments and vendors.
15% 2. The Materials Management Clerk demonstrates an awareness of job responsibilities and requirements.
15% 3. The Materials Management Clerk regularly demonstrates an ability to exercise good judgment and decision-making in performing job assignments. Work to purchase the best quality services and products in a cost-containment manner. Perform monthly cycle counts to maintain correct inventory.
10% 4. The Materials Management Clerk demonstrates an ability to maintain good rapport with co-workers, vendors, and other hospital personnel.
10% 5. The Materials Management Clerk consistently coordinates workload to achieve maximum productivity and efficiency.
6. Performs other duties as assigned.
POSITION QUALIFICATIONS
Minimum Education: Requires a high school graduate with a minimum of two years experience in the procurement of materials and services of the healthcare field. Requires good clerical, analytical and communication skills.
Work Schedule: Normally scheduled to work Monday through Friday, but subject to hospital census. May include holidays and/or weekends. During low census periods, may be required to accept re-assignment to another area if possible and/or rotate days off without pay.
Work Environment: Indoors in well lighted, well ventilated areas. Exposed to noise and commotion of general storeroom activity.
Physical Abilities: During working shift, may be required to sit five (5) hours doing paperwork, keyboard processing and telephone ordering. Will stand for approximately three (3) while checking stock levels. Must be able to move boxes on shelves to check stock. Must be able to lift up to 25 pounds.
