Job Description:

Key Responsibilities
Referral & Authorization Management:
- Oversee the full patient referral pipeline from intake to benefits verification, prior authorization submission, and scheduling.
- Ensure rapid turnaround times, minimizing delays for patients needing urgent depression treatment.
- Maintain clear, timely communication with referral sources, providers, and patients.
- Manage scheduling of all initial evaluations and follow-up appointments for Ketamine, Esketamine, and TMS services.
- Ensure optimal patient flow and maximize treatment capacity as volume scales (from 40 to 100 Esketamine patients/week and 20 to 60 TMS patients/day).
- Track medication ordering through providers and suppliers (Spravato and Ketamine).
- Ensure timely pharmacy fills and resolve medication-related issues proactively.
- Coordinate continuation prior authorizations (PAs) to avoid disruptions in patient care.
- Obtain certification to administer TMS and Esketamine treatments (training provided).
- Serve as a backup treater when needed to ensure uninterrupted patient care.
- Support patients as a backup Patient Navigator/Advocate when needed, consulting patients about ancillary services and treatment expectations.
- Audit selected treatments and patient interactions to ensure high-quality care delivery and adherence to protocols.
- Lead and hold the Ancillary Services team accountable to performance goals.
- Drive communication clarity and ensure internal and external stakeholders (providers, team members, patients) are consistently informed.
- Identify and implement process improvements to enhance service delivery and patient outcomes.
Qualifications:
- Bachelors degree preferred (Healthcare Administration, Psychology, Nursing, or related field).
- Masters degree in Healthcare Administration (preferred)
- Familiarity with prior authorizations, benefits verifications, and referral management processes.
- Exceptional organizational, multitasking, and problem-solving skills.
- Strong leadership skills with ability to motivate and hold team members accountable.
- Comfortable learning and performing clinical procedures (TMS, Esketamine) with certification training provided.
- Excellent verbal and written communication skills.
- Compassionate, patient-first mindset.
- Ability to thrive in a fast-paced, high-volume outpatient environment.
