JOB DESCRIPTION:
- Administrative Assistant
- Full Time (10 month, 5 hours per week in June & July)
- Reports to Department Chair of Christian Ministry & Formation
Department of Christian Ministry and Formation
- Assist the CMF chair with the following:
- Maintaining a record of teaching schedule for department faculty and managing load sheets.
- Hiring new adjunct instructors and full-time faculty members.
- Managing the department budget.
- Making arrangements for department meetings and taking minutes.
- Constructing class schedule for entire year plus changes each semester.
- Compiling statistical reports and maintaining records of CMF students.
- Maintaining department calendar.
- Developing and maintaining promotional material in partnership with marketing.
- Assist CMF faculty and adjunct instructors with the following:
- Collecting textbook adoptions.
- Collecting course syllabi by semester.
- Maintaining current advisee lists, updating advising sheets, and enrolling students for Fall, spring, and summer courses.
- Copying, scanning, grading, and proctoring make-up exams as needed.
- Coordinating and maintaining records of Senior Comprehensive Exams.
- Planning and organizing department events (freshmen and senior retreats, conferences, workshops, etc.).
- Organize and maintain CMF Office:
- Cultivate a hospitable environment for prospective students, parents, and special guests (i.e., district superintendents, alumni, pastors, guest speakers, etc.)
- Keep supplies stocked
- Order equipment and software as needed
- Serve students in the following ways:
- Coordinate weekly department coffee hour.
- Build relationships, especially with majors and minors.
- Supervising student workers.
Church Relations
- Assist director of The Call as needed
- Assist director of church relations and CMF chair with the following:
- Maintaining and developing connections with churches and districts on the North Central Field.
- Managing church relations budget.
- Managing travel calendar and arrangements.
- Hosting on-site events (i.e., GPACS, OPN, ARMM, and PALCON)
- Hosting Pastors in Residence and maintaining Pastor’s Apartment.
- Managing pulpit supply requests, internship requests, and honoring anniversary churches.
Pioneer Trek
- Assist the director of the Pioneer Trek Program with the following:
- Planning travel arrangements for trips (flights, insurance coverage, transportation to and from airports, etc.)
- Managing finances for each trip.
- Identifying, promoting, and evaluating trip opportunities.
- Providing training materials and preparation support for trip leaders.
- Facilitating the approval process for each trip.
