POSITION SUMMARY: 

The Welcome Center Coordinator serves as the first point of contact for prospective students, families, and campus visitors by providing exceptional customer service and administrative support to the Welcome Center, the Enrollment, and Admissions Departments. The role requires strong organizational, communication, and hospitality skills, along with the ability to manage multiple priorities in a fast-paced, student-centered environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Deliver exceptional customer service by welcoming and assisting visitors at the Welcome Center in a professional and engaging manner.
  • Answer incoming telephone calls and provide accurate information clearly, courteously, and with sensitivity.
  • Maintain the overall appearance and organization of the Welcome Center.
  • Support the Admissions and Enrollment Departments by processing prospective student files, entering student information into Salesforce, generating reports and assisting with operational tasks.
  • Ensure office and hospitality supplies are stocked and organized daily.
  • Assist with the planning and preparation of campus visits, open houses, prospective student events, and other recruitment activities.
  • Review and distribute emails from students and families regarding programs, procedures, policies, and application status updates to appropriate department/staff.
  • Monitor the campus calendar to effectively assist visitors and coordinate support for campus events and group visits.
  • Communicate with appropriate personnel in the event of security, facility, or maintenance concerns.
  • Coordinate the daily flow of Welcome Center activities, ensuring timely presentations, campus tours, and clear guidance for guests navigating campus and surrounding areas.
  • Manage the campus room reservation process and assist with scheduling needs.
  • Perform additional duties and responsibilities as assigned.

QUALIFICATIONS: 

The role requires strong organizational, communication, and hospitality skills, along with the ability to manage multiple priorities in a fast-paced, student-centered environment.

EDUCATION and/or EXPERIENCE:

High School Diploma or GED preferred. 6 months previous experience in an office setting. Experience with FERPA regulations preferred.

COMPUTER SKILLS:

Proficient in Microsoft Office. Willing to learn Jenzabar, Salesforce, and Google Docs.

PHYSICAL DEMANDS:

Requires repetitive motions and sitting at computer keyboard; hearing and speaking on the telephone; can lift up to 25 pounds if needed.
