POSITION SUMMARY:
The Academic Coordinator provides high-level administrative and operational support to the academic programming of MACU (as assigned). This position is responsible for managing a wide range of administrative functions, event coordination, budget and procurement tracking, faculty and student support services, and campus engagement initiatives. The ideal candidate is organized, proactive, and capable of handling multiple priorities while maintaining professionalism and confidentiality. The Academic Coordinator works closely with the assigned Academic Dean to perform tasks related to the on-going, daily work of academic affairs at the university level
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Field calls and emails regarding faculty, instruction, and academic programs.
Perform the following administrative support functions: Assist visitors in a professional manner by providing information and direction they may need; answer incoming calls and redirect to the appropriate person; take messages and provide appropriate and necessary information; schedule appointments and maintain an updated calendar; order office supplies as needed.
Coordinate course schedules for designated schools (adding sections, managing caps, parent/childing, etc)
Create professional and effectively written communications, including reporting, to internal and constituents.
Hold responsibility for adjunct instructor onboarding for respective schools.
Organize meeting locations and setups, and provide a hospitable presence as assigned.
Create and maintain purchase requests in Laserfiche for designated programs activities/expenditures.
Assist with budget processes, purchase requisitions, and procurement needs.
Support student-facing events in coordination with designated schools, Admissions, Enrollment, and Student Services, and Student Affairs.
Plan events involving students and faculty.
Participate in campus-wide collaborative and departmental activities.
Perform other duties as assigned by the Dean of Academic Instruction and Vice President of Academic Affairs.
Perform specific duties as outlined in the Academic Support Guidelines directed by the Dean of Academic Instruction and the Dean of Academic Initiatives
QUALIFICATIONS:
Administrative support experience or an equivalent combination of education and experience
Excellent computer skills
Ability to maintain interpersonal interactions and communication both with warmth and within professional boundaries.
Ability to work methodically, accurately, and efficiently
Excellent oral and written communication skills
Ability to maintain accurate and organized records and documentation
Excellent organizational skills
EDUCATION and/or EXPERIENCE:
Associate’s degree
Proven successful experience as an administrative assistant
COMPUTER SKILLS:
- Experience with Microsoft Office and/or Google Workplace and web conferencing applications such as Zoom or Google Meet
- Preferred experience with learning management systems, student information systems, and simulation lab equipment
