Job Summary:
The Accountant is responsible for managing accounts payable and receivable, including processing vendor payments, recording customer receipts, and maintaining accurate financial records. This role supports month-end close activities by performing account reconciliations, preparing journal entries, and maintaining supporting documentation and schedules. The position requires attention to detail and strong organizational skills to ensure timely and accurate processing of all financial transactions.
Duties & Responsibilities:
1. Accounts Payable Management -
- Reviews general ledger coding and enters approved invoices into accounting system.
- Processes payments to vendors.
- Reconciles monthly credit card activity.
- Manages outstanding vendor invoices for proper status.
- Reconciles accounts payable monthly.
2. Accounts Receivable Management –
a. Produces monthly membership dues invoices.
b. Assists staff with invoice requests as needed.
c. Records customer payments into association management system.
d. Completes customer payment deposits.
e. Works with VP, Finance & Administration to reconcile deposits with bank activity.
f. Manages outstanding accounts receivable balances in coordination with department heads.
g. Reconciles accounts receivable monthly.
3. Month End Reconciliation –
a. Performs reconciliations of key account balances.
b. Prepares monthly GAAP journal entries.
4. Grant Support –
a. Provides staff with expense detail as requested related to grants and program budgets.
b. Reconciles grant accounts and maintains support documentation.
c. Prepares monthly and quarterly grant reporting documents as directed.
5. General Accounting Support –
a. Maintains daily, weekly, and monthly data and supporting workpapers as directed.
b. Posts transactions as directed.
c. Maintains accounting files.
d. Assists with annual audit preparation.
e. Supports Vice President, Finance & Administration as needed
6. Other tasks as assigned.
Education, Experience and Skills
1) Working knowledge and experience with Microsoft Office Suite
2) Accounting major preferred
3) 1-3 years of accounting experience preferred
4) Basic understanding of financial and accounting principles
5) Experience with Association Management Systems databases preferred
