POSITION OVERVIEW

The Finance & Office Administrator supports the Executive Director and Section staff by managing day-to-day office operations, finance, technology, and administrative functions. This position ensures the Section Office runs smoothly while maintaining a professional, welcoming, and service-oriented environment for staff, Members, and visitors. While the PGA of America handles many accounting functions, this role organizes and assists with the coding and processing of invoices and expense reports, prepares bi-weekly bank deposits, and, with input from other staff members, tracks and invoices tournament and event partnerships.

Key responsibilities include coordinating financial processes such as deposits, expense reporting, invoicing, and budget support; managing office operations and vendor relationships; maintaining technology systems and the RingCentral phone system; and overseeing the digital Sales Representatives Directory. The role also provides critical support for Section events, meetings, and programs, contributing to the overall success of the Michigan PGA Section and its members.

ABOUT THE MICHIGAN PGA SECTION

The Michigan PGA Section, located in East Lansing, Michigan, is one of the 41 Sections of the Professional Golfers' Association of America. The PGA of America, formed in 1916, has grown into the world's largest working sports organization with more than 31,000 members and associates. Its mission is to promote enjoyment in the game of golf and contribute to the game's growth by providing services to golf professionals and the industry. The Michigan PGA Section was founded in 1922 and consists of over 950 PGA Members and Associates in Michigan.

KEY RESPONSIBILITIES

Finance & Accounting:

· Prepare and deposit all incoming funds accurately and on schedule.

· Process tournament withdrawal refunds according to Section and Chapter policies.

· Review and code expense reports for officials, volunteers, and committee members.

· Manage financial operations, including processing invoices, creating check requests, tracking and invoicing tournament facility fees and event partnerships, and processing expense reports.

· Oversee accounting tasks, including coding transactions and preparing bi-weekly bank deposits.

· Administer payments for PGA Professional fees, programs, and special events.

· Assist new sponsors and vendors to set up new Workday accounts.

· Assist the Executive Director in developing, managing, and monitoring the Association's annual budget.

Office Operations & Administration:

· Serve as the primary point of contact for members and vendors via phone and email, providing professional assistance and guidance.

· Process all Section and Chapter tournament and event refunds and resolve registration or billing inquiries.

· Manage office mail, supplies, and inventory while adhering to budget guidelines.

· Coordinate vendor contracts and oversee maintenance of office equipment and building services, including HVAC, internet, alarms, and general repairs.

· Support planning and execution of annual membership meetings, board meetings, seminars, and allied association events.

Technology Management:

· Maintain and update staff computers, tablets, printers, and software to ensure efficient operations.

· Administer the RingCentral phone system, including programming auto-attendant messages and managing day/night modes.

Sales Representatives Directory:

· Oversee annual updates and ongoing maintenance of the digital Sales Representatives Directory.

· Manage ad sales for full and half-page placements and track sponsor listings.

· Build and maintain professional relationships with sales representatives and sponsors.

SKILLS, KNOWLEDGE AND ABILITIES

· Strong planning, organizing, and time-management skills; ability to manage multiple priorities in a multi-functional environment.

· Ability to work collaboratively with staff in a friendly, cooperative, and professional manner.

· Excellent oral and written communication, including interpersonal skills.

· Proficiency in Microsoft Office, Adobe Suite, Google Suite, WordPress, and the ability to quickly learn PGA Section Management Systems (Workday, SMS, Member360), Golf Genius, and Mailchimp.

· Knowledge of the golf industry and PGA of America preferred.

· Sound judgment and decision-making skills; maintain composure under pressure.

· Maintain confidentiality of sensitive data.

· Ability to motivate, support, and encourage others.

· Ability to work occasional weekends or overtime as needed.

· Professional appearance and demeanor.

POSITION/PHYSICAL CONDITIONS

This role requires frequent standing, walking, sitting, using hands and fingers to handle objects, and verbal communication. The employee is occasionally required to reach with hands and arms; stoop, kneel, crouch, or crawl; climb or balance; and lift or move up to 50 pounds. Specific vision abilities, including close vision, distance vision, color vision, and the ability to adjust focus, are required.

Employees may occasionally work outdoors in varying weather conditions, and the noise level in the work environment is typically moderate. The role also requires reliable transportation and a valid driver's license to travel to the post office and other locations as needed.

EDUCATION AND EXPERIENCE

· Bachelor's degree (B.A. /B.S.) in Business Administration, Finance, and/or Accounting or related field preferred

· PGA Member Preferred

· Experience in golf and/or sports administration preferred

COMPENSATION & BENEFITS

· Full-time, non-exempt position with starting compensation between $46,000 - $50,000 based on qualifications and experience

Pay: $46, $50,000.00 per year
