Job Overview
We are seeking a highly organized and detail-oriented Surgery Scheduler to join our healthcare team. The ideal candidate will be responsible for coordinating surgical appointments, managing patient schedules, and ensuring seamless communication between patients, providers, and staff. This role requires proficiency in various Electronic Health Record (EHR) systems, medical terminology, and administrative support functions. The Surgery Scheduler plays a vital part in delivering exceptional patient service and maintaining efficient clinic operations.
Responsibilities
- Schedule surgeries and procedures accurately within the EMR system, Epic' SIS COMPLETE and other platforms.
- Verify insurance coverage and perform insurance verification to ensure proper authorization before procedures
- Review and update patient records, ensuring all documentation complies with HIPAA regulations and clinic policies
- Coordinate with physicians and surgical teams to confirm appointment details and prepare necessary documentation
- Manage patient communication via multi-line phone systems, providing excellent phone etiquette and patient service
- Maintain accurate documentation review including CPT coding, ICD-9/10 coding, and medical billing information
- Collaborate with billing departments for accurate medical collection processes and ensure proper coding for procedures
- Handle front desk duties as needed, including filing, data entry
Qualifications
- Proven experience in medical scheduling within a clinical or hospital settings
- Strong knowledge of EMR/EHR systems such as Epic
- Familiarity with medical terminology including CPT coding, ICD-9/10 coding
- Excellent organizational skills with attention to detail in documentation review and appointment coordination
- Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining professionalism and making any on the spot adjustments as needed. Being able to handle high levels of demand and nature of surgical request.
- Proficient computer skills including Microsoft Office Suite (Word, Excel), typing (10 key), and familiarity with office management software like Eaglesoft or Dentrix
- Exceptional communication skills with strong phone etiquette.
