Job Summary

Michigan Health Corporation ("MHC") is currently seeking an administrative specialist to join its team. The MHC team supports and oversees multiple healthcare ventures with outside partners including the initiation and termination as needed and the administrative specialist holds a key role in all administrative aspects of MHC's activities.

Responsibilities

The successful candidate will be responsible for all administrative activities of Michigan Health Corporation. In this role, you will be a focal point of communication between MHC, it's ventures / outside partners, and internal U-M stakeholders. Activities broadly include:

Support MHC Board, Venture Boards, and Subcommittees

  • Coordination with partners to schedule board and subcommittee meetings
  • Manage board meeting process, including creating agenda, collecting presentation materials from internal and external partners, reviewing standard reports and soliciting updates, and producing/distributing meeting packets
  • Prepare ad hoc MHC Board resolutions as required between meetings
  • Facilitate meetings as required including making video conference arrangements and coordination of schedules with board members and presenters
  • Prepare meeting transcripts for MHC board secretary and those of select ventures, capturing critical details at the appropriate level of detail. Maintain minutes as needed to meet governance requirements.
  • Prepare interim reports based on information submitted from partners
  • Update and coordinate all phases of annual business plan approval including final Regents' approval.


Operational Support of Wholly Owned Ventures

  • Onboard employees leased to MHC ventures
  • Review and submit various expenses from physicians and sponsored affiliates
  • Review and process relevant operational charges; escalate as needed
  • Facilitate keys, IT system access, IDs, etc., for sponsored affiliates
  • Manage Cornerstone learning modules for sponsored affiliates


Office Management

  • Identify opportunities to improve office efficiency and implement best practices
  • Management of MHC documentation and filing system
  • Management of department calendar
  • Manage of incoming payments from partners
  • Confirm conformance of partner invoices with SPG policies approve as appropriate
  • Bank statement reconciliation
  • Input monthly trending based on joint venture financial statements
  • Submit legal/business notifications
  • Confirm deadlines are met for corporate filings and tax returns
  • Manage Facilities space survey, if required, and
  • other duties as assigned.


You will work closely with the MHC team, Michigan Medicine, and partner executives and their offices, partner front-line employees, and internal U-M / Michigan Medicine services.

Required Qualifications*

  • Bachelor's degree and 2 years of professional/administrative experience or equivalent.
  • Proficiency in MS Word, MS Excel, MS PowerPoint, Outlook, and Zoom/Teams.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Work Schedule

The work schedule of this position aligns with the business hours of MHC, 40 hours per week, Monday - Friday, 8:00 a.m. to 5:00 p.m. This position requires a portion of onsite time each week (approximately 20% - 40% on average) in addition to monthly in-person department meetings and other onsite meetings as needed. Outside of scheduled onsite time, remote work is a possibility.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third-party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
