Term: Full Time, 52 weeks per year, 8 hours per day
General Description
The Transportation Office and Finance Manager will coordinate and oversee administrative and finance duties as assigned by the Director of Transportation to ensure that the office operates efficiently and smoothly. The role of the Office and Finance Manager is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
Main Job Tasks and Responsibilities
- Maintain office services which include answering and directing telephone calls and radio dispatch and incoming visitors
- Assists transportation staff in handling necessary paperwork and communicating with district personnel
- Maintain department logs and communicate to appropriate managers to ensure resolution
- Responsible for monitoring the department specific hiring steps and assist with recruiting
- Department liaison with Human Resources, Finance and Payroll Departments in matters related to requests for leaves, Worker’s Compensation and payroll
- Responsible for processing and submitting payroll to the Payroll Department for school bus drives, school bus monitors, mechanics and security personnel and assists in other transportation payroll processing, as needed
- Assist Transportation Director, as needed, in updating and communicating department procedures to transportation staff
- Assist the Transportation Director, as needed in processing accounts payable and receivable
- Manages office supply inventory and orders, as necessary, including uniforms
- Issues staff IDs; fobs for transportation staff and distributing and collecting
- Working knowledge of all transportation specific software in order to assist in routing, as needed, and inquiries into routes by other District staff; parents and community partners
- Serve as substitute Dispatcher / Router, as needed
- Participate in department committees as necessary
- Other duties as assigned by the Director of Transportation
Education and Experience
- High School Diploma or equivalent
- Must have effective problem solving skills and be able to work positively with potentially difficult people in demanding situations while working toward resolution
- Strong customer service orientation and excellent verbal and written communication skills including maintaining a professional behavior at all times while communicating and working with other department staff; district staff; parents and community partners
- Knowledge of Power Schools and District software, preferred
- Previous experience working in a school transportation environment, preferred
- Excellent work habits and attendance record with a commitment to meet deadlines and to meet the needs of MCAS students and staff
- Be proactive, attentive and responsive, as the situation deems
