Position Details

QUALIFICATIONS

  • Associate or Bachelor’s degree in Human Resources, Business Administration, or related field
preferred.
  • Previous experience in human resources or school district administration strongly desired.
  • Knowledge of HR laws, compliance standards, and best practices.
  • Proficiency in HRIS/HRMS systems, Microsoft Office Suite, and Adobe Acrobat.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and work collaboratively in a fast-paced environment.

LICENSES, REGISTRATIONS OR CERTIFICATIONS

  • MSBO Certification preferred
  • SHRM Certification preferred
  • Criminal background check
  • Drug screen required

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Employee Onboarding & Compliance
  • Coordinate the onboarding process for new employees, including fingerprinting,
reference checks, and collection of legally required documentation.
  • Communicate Pontiac School District policies, procedures, and rules to assigned
employees.
  • Apply for substitute permits, career authorizations, and approvals through the Michigan
Department of Education (MDE).
  • Review teacher certification information to ensure compliance with state and district
requirements.
HR Operations & Data Management
  • Process, verify, and maintain all employee documentation, including new hire
paperwork, status changes, terminations, and leaves of absence.
  • Accurately input and update data within the Human Resource Management System
(HRMS), ensuring alignment with financial and accounting practices.
  • Maintain personnel files for active and former employees and ensure proper
organization and secure storage.
  • Update union seniority lists monthly and maintain employee evaluation information.
Compensation & Contract Administration
  • Prepare and administer employment contracts, including annual salary increases and
pay assignments.
  • Manage the annual rollover of salary tables and employee pay schedules.
  • Create and maintain employee workday calendars by employee group in collaboration
with the Business Office
  • Review and process extra duty payments in collaboration with the Business Office.
Collaboration & Support
  • Serve as a primary HR contact for new and current employees regarding HR-related
issues and concerns.
  • Collaborate with the Business Office to provide information for audits and assist with
vendor oversight, including third-party contractors and athletic department personnel.
  • Support the Executive Director of Human Resources in collective bargaining activities
and employee relations matters, including leaves, compensation, discipline, and policy
interpretation.
  • Participate in recruitment efforts such as job fairs, interviews, and candidate searches
to fill district vacancies.
  • Review staffing updates with building administrators to ensure accuracy and alignment
with current assignments.
Systems & Reporting
  • Create and modify electronic forms in Adobe; manage user accounts and coordinate
annual renewals with the Technology Director.
  • Compile and analyze personnel and compensation data for internal and state reporting,
including REP submissions.
  • Review CHRISS for incoming CHRI results, coordinate clearance notifications, and
communicate with the Security Coordinator.
Other Responsibilities
  • Provide assistance with audits, special projects, and other HR functions as assigned by
the Executive Director of Human Resources.

PHYSICAL REQUIREMENTS

  • While performing the duties of this job, the employee is regularly required to sit and
talk or hear.
  • The employee is frequently required to use hands to finger, handle, or feel.
  • The employee is occasionally required to stand, walk, reach with hands and arms and
stoop, kneel.
  • The employee must occasionally lift and/or move up to 10 pounds.
  • Specific vision ability required by this job includes close vision, distance vision,
peripheral vision and ability to adjust focus
