Position Details
STATEMENT OF RESPONSIBILITIES :
Provide confidential and diverse secretarial and general office support for the principal.
GENERAL DUTIES AND RESPONSIBILITIES :
- Provide positive interaction with parents, visitors and staff.
- Assist with student needs throughout the day.
- Establish and maintain a filing system, in manual and computerized modes.
- Schedule students using the Skyward system.
- Maintain student activity and building financial accounts using New World system.
- Compile and maintain accurate pupil accounting records.
- Compile and maintain accurate student academic records.
- Coordinate substitute teachers on a daily basis.
- Process, as instructed, routine and non-routine correspondence using standardized formats.
- Maintain a schedule of appointments; make arrangements for conferences and interviews; furnish the Principal with appropriate materials for specific meetings in a timely manner.
- Order and maintain office and school supplies, as needed.
- Perform other clerical duties to facilitate smooth executive office operations. Work cooperatively with other personnel.
- Prepare highly confidential information (reports, correspondence, notices, recommendations).
- Perform other related duties as directed by the Building Principal.
PERSONAL QUALIFICATIONS :
- High school graduate (post-graduate education preferred) with a minimum of five years of experience in a secretarial or related field.
- Experience with Microsoft Office, Outlook, New World, Skyward Data Management System, and Quicken is desirable.
- Excellent communication/interpersonal skills are required to interact effectively with students, staff members, other school officials, parents, and the general public.
- Extensive knowledge of organizational operations, policies, procedures, and practices.
- Ability to organize, prioritize, and work independently as well as schedule and produce work in a timely manner, including emergency situations.
- Ability to operate effectively in an environment requiring the handling of confidential/sensitive information.
- Experience with a multi-line phone system.
- Strong computer skills required, including typing 60 WPM accurately. (Candidates may be required to complete skills assessment prior to interviews.)
- Pursuant with State of Michigan Student Safety Legislation, all prospective hires must provide fingerprinting and background check results to the district prior to employment.
