Michelman Robinson, LLP (MR) is seeking a stellar and experienced Office Services Clerk to join our dynamic Los Angeles office. This is a unique, hands-on opportunity for an energetic and personable professional to play a key role in the day-to-day operations of a fast-paced, high-performing law firm.
As the Office Services Clerk, you will serve as the first point of contact for our clients, guests, and staff—representing the firm with professionalism and poise. This position requires superior communication, interpersonal, and multitasking skills, and offers the chance to collaborate closely with various departments across the firm.
Key Responsibilities
Reception & Client Services
- Greet clients, visitors, and callers, ensuring a warm and professional welcome.
- Maintain a polished and organized reception area.
- Manage incoming calls, messages, and deliveries with accuracy and efficiency.
Mail & Package Handling
- Sort and distribute incoming/outgoing mail and courier packages.
- Coordinate prompt delivery of items to appropriate parties.
Office & Administrative Support
- Provide general administrative support to attorneys, paralegals, and staff.
- Organize and maintain physical and electronic filing systems.
- Assist with court document filing, document formatting, scanning, copying, and binding.
Facilities & Supplies
- Oversee office supply inventory and order replenishments.
- Report and help coordinate repair/maintenance issues.
- Ensure all conference rooms are scheduled, clean, and equipped for meetings.
Compliance & Confidentiality
- Maintain strict confidentiality of client and firm information.
- Ensure adherence to document retention policies and security protocols.
Candidate Qualifications
- 2–4 years of reception experience in a law firm or legal environment (required).
- High school diploma or equivalent (required).
- Strong organizational and time-management skills.
- Exceptional interpersonal and verbal communication skills.
- Proactive attitude and a commitment to client service.
- Ability to manage multiple responsibilities in a high-volume, fast-paced environment.
Physical Demands
- Must be able to lift and carry up to 50 pounds regularly and occasionally handle items weighing up to 100 pounds with the use of a dolly or cart.
- Ability to push, pull, load, and maneuver a dolly with approximately 100 pounds of materials.
- Requires standing, walking, bending, reaching, and stooping throughout the workday.
- Work may involve repetitive motion and handling of office supplies, packages, and equipment.
