Front Office Coordinator – Dental Practice (Full-Time)
We are a high-quality, patient-focused dental practice in the South Bay seeking a reliable and detail-oriented Front Office Coordinator to join our team. This role is critical to keeping the schedule full, patients informed, and the office running efficiently.
Core Responsibilities:
- Answer and manage incoming phone calls promptly and professionally
- Confirm all patient appointments for the following 1–2 business days
- Actively fill cancellations and maintain a full hygiene schedule
- Schedule and coordinate patient appointments for doctors and hygienists
- Perform daily chart preparation for upcoming appointments
- Verify PPO insurance eligibility, benefits, and breakdowns prior to visits
- Check patients in and out, collect payments, and review treatment plans
- Update medical histories annually and ensure all patient records are current
- Schedule next appointments and manage recall system to maintain patient flow
- Monitor and work A/R (accounts receivable) reports and follow up on outstanding balances
Additional Responsibilities:
- Present and explain treatment plans and financial options clearly to patients
- Submit and track insurance claims; follow up on delays or denials
- Maintain accurate patient records in Dentrix Ascend
- Coordinate with clinical team to ensure smooth patient flow throughout the day
- Handle patient questions, concerns, and rescheduling with professionalism
- Maintain a clean, organized, and welcoming front office environment
- Assist with daily reports, production tracking, and schedule optimization
- Support marketing and patient retention efforts (reviews, referrals, etc.)
Qualifications:
- Dental front office experience required
- Working knowledge of PPO insurance verification and billing
- Experience with Dentrix Ascend or similar dental software is a plus
- Strong communication and organizational skills
- Ability to multitask and stay calm in a fast-paced environment
- Detail-oriented with a proactive mindset
