Michael Best & Friedrich LLP is seeking a self-motivated and detail-oriented Client Account Coordinator. The Client Account Specialist will serve as the dedicated collections point of contact for the Firm’s Litigation (LIT) Practice Group, supporting attorneys, practice group leadership, and clients with timely, accurate, and proactive accounts receivable follow-up.
Responsibilities & Duties:
- Manage the collection process for all Litigation practice group clients, including regular review of outstanding A/R.
- Follow up proactively with Litigation attorneys, assistants, and practice group leadership to drive resolution of outstanding bills.
- Document partner preferences, update firm databases, monitor E-billing status, and provide reporting as needed.
- Work directly with Litigation clients to confirm they have the information needed to process payment on open invoices.
- Proactively support Litigation billing and collections by resending statements, assisting billing attorneys, resolving invoice questions, and identifying actions that may facilitate payment.
- Document the status of every Litigation client with aged A/R balances and provide real-time updates to relevant stakeholders.
- Evaluate the likelihood of collection and make recommendations for write-offs and/or referrals to a collection agency.
- Work cross-functionally with all areas of Finance & Accounting to investigate errors and resolve attorney and client inquiries
- Reconcile selected accounts on a monthly basis
- Maintain discretion and confidentiality
- Additional duties and special projects as needed
Job Requirements:
- Ability to work 40 hours per week and flexibility for possible seasonal overtime
- Two-year degree preferred or equivalent professional services experience
- Professional, confident communication style with the ability to work effectively with attorneys, assistants, practice group leadership, clients, and Finance team members.
- Strong organizational, analytical, and problem-solving skills, with the ability to identify collection barriers and recommend practical next steps.
- Ability to manage shifting priorities, urgent follow-ups, and deadline-sensitive collection matters in a fast-paced legal services environment.
- Responsive, client-first service approach with the judgment to handle sensitive billing conversations professionally and discreetly.
- High attention to detail and accuracy when reviewing client balances, invoice history, payment status, notes, and follow-up documentation.
- Ability to work independently, prioritize a high-volume Litigation collections portfolio, and keep stakeholders informed on status and next steps.
Knowledge Base & Education:
- 2 years of accounting, finance, billing, collections, or professional services experience; law firm or litigation billing experience preferred.
Skills:
- Proficiency with Excel, Outlook, and Microsoft Office tools to track receivables, organize follow-up, prepare updates, and manage client communications.
- Working knowledge of electronic billing, timekeeping, and client matter management platforms, preferred.
- Strong organizational skills to manage multiple Litigation matters, client balances, attorney preferences, and follow-up timelines simultaneously.
- Excellent attention to detail when reviewing aging reports, billing notes, payment activity, client preferences, and disputed invoice information.
- Ability to manage a deadline-oriented collections workflow and escalate unresolved issues with clear, practical recommendations.
- Experience with billing, collections, accounting, A/R, or business management systems preferred.
- Ability to adapt to changing priorities, learn new processes, and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills with attorneys, staff, clients, and internal teams.
- Sound judgment, discretion, and professionalism when handling confidential or sensitive matters.
- Collaborative approach with the ability to build relationships and support process improvements.
- Strong problem-solving skills with the confidence to identify issues, recommend solutions, and follow through.
- Client-first mindset with the ability to remain composed and practical under pressure.

For California, Colorado, District of Columbia, and Illinois applicants only: The annual compensation range for a Financial Applications Analyst in our California, Colorado, District of Columbia, and Illinois offices is between $ 50,000 - $60,000. The salary range reflects our good-faith expectation for this role at the time of posting. Final compensation will depend on experience, skills, and internal equity. Client Account Coordinators are eligible to participate in Michael Best’s bonus program, subject to the program’s conditions and restrictions. This position is considered full-time and is therefore eligible to participate in employer-sponsored benefits, including medical, dental, vision, as well as elective/voluntary life, disability, accident coverage, paid holidays, paid time off, and eligible reimbursements.
