Job Summary: The Director of Fleet Operations leads the execution and performance of Guardian fleet services. This role is responsible for managing fleet personnel, overseeing dispatch and service workflows, maintaining data accuracy, and ensuring a high level of service for both customers and service providers. The Director will drive operational efficiency, support customer relationships, and continuously improve processes and systems that support fleet services.
Job Responsibilities:
- Lead and manage Fleet Administrators and Fleet Managers.
- Establish clear processes and accountability for daily fleet operations.
- Support team development, training, and performance management.
- Promote and reinforce the MH culture across the organization.
- Oversee dispatch operations to ensure timely response to customer service requests.
- Ensure effective coordination with service providers across regions.
- Monitor workflow from service request through completion and billing.
- Improve turnaround times and communication with customers.
- Establish and maintain strong relationships with service providers and partners.
- Support consistent service execution aligned with agreed pricing and service expectations.
- Communicate with customers regarding service status and issue resolution.
- Support sales and operations teams in delivering Guardian value.
- Oversee accurate creation and processing of work orders.
- Lead team in utilizing MuleSoft and internal systems for data input and integration.
- Ensure accuracy of pricing, markups, and tax handling.
- Identify opportunities to streamline administrative processes.
- Ensure timely and accurate invoicing through customer portals.
- Oversee management of customer POs and billing requirements.
- Monitor and improve billing cycle times and collections support.
- Maintain strong attention to detail in financial transactions.
- Deliver regular fleet performance reports and insights to customers.
- Analyze equipment usage, cost trends, and lease status.
- Provide recommendations to improve productivity, safety, and cost control.
- Drive continuous improvement in workflows, data accuracy, and system usage.
- Support transition and utilization of business systems (e.g., e-Emphasys).
- Partner with internal teams to improve tools, reporting, and efficiency.
- Focus on practical improvements that reduce manual work.
- Other duties and projects as appropriate.
Job Requirements:
- Proven experience managing operational teams and workflows.
- Strong attention to detail and process discipline.
- Experience with dispatching or service coordination preferred.
- Comfort working within ERP systems and data-driven environments.
- Ability to work cross-functionally and manage multiple priorities and high transaction volumes.
- Strong communication and organizational skills.
- High level of integrity and professionalism.
- Valid driver’s license; travel as required.
- Must be able to meet the physical requirements of the job.
Working Conditions: Employee is expected to work 40 hours per week Monday through Friday and additional time as required to meet operational demands and customer expectations. The position is exempt from paid overtime.
