Duties
- Schedule permits
- Help operate and manage payroll
- Manage multi-line phone systems with professionalism, ensuring clear and courteous communication at all times
- Assist with calendar management, scheduling appointments, meetings, and reminders for staff and executives
- Support bookkeeping activities using QuickBooks or similar software to track expenses and invoices
- Proofread correspondence, reports, and other documents to ensure clarity, accuracy, and professionalism
- Provide personal assistant support when needed, including travel arrangements and task prioritization
- Maintain excellent phone etiquette while supporting customer inquiries via phone or email
Experience
- Proven clerical or administrative experience in an office environment with a focus on customer support and front desk duties
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software
- Experience with data entry, filing systems, and document proofreading to ensure accuracy and organization
- Familiarity with office management practices including calendar management, scheduling, and supply ordering
- Prior experience as a personal assistant is a plus but not required
- Excellent organizational skills combined with effective time management to handle multiple priorities efficiently
- Knowledge of phone etiquette standards and technical proficiency in multi-line phone systems is essential
