The Role
The Marketing Operations Coordinator supports the operational foundation of MFUSED’s marketing organization by helping manage marketing assets, vendor relationships, inventory, and campaign reporting. This role ensures that materials, systems, and processes across the department operate efficiently, enabling the marketing team to execute programs with precision and consistency.
Working under the direction of the Marketing Operations Manager, the Marketing Operations Coordinator assists in the organization and distribution of both digital and physical marketing assets, provides vendor and budget support, maintains system accuracy in HubSpot, and ensures compliance with cannabis marketing regulations. This role is on-site and works closely with multiple departments while reporting to a manager who may work remotely.

What You’ll Do
- Asset Management (Digital and Physical): Maintain organization of marketing assets including photography, creative files, promotional materials, and retail collateral. Manage version control, archiving, and ensure that materials meet MFUSED’s brand and compliance standards.
- Inventory Tracking and Distribution: Track inventory levels for promotional items, apparel, and retail displays. Coordinate reorders, shipments, and deliveries to dispensaries, retail partners, and field teams. Conduct routine audits and maintain accurate inventory documentation.
- Vendor Coordination: Support the Marketing Operations Manager in communications with key vendors such as GoldLeaf (retail assets) and Dot.exe (apparel). Track production schedules, shipping updates, and invoice processing to ensure on-time and cost-effective fulfillment.
- Marketing Technology Support: Assist with the maintenance of HubSpot and other marketing technology tools. Enter and update campaign data, manage contact lists, and help train team members on proper system use. Ensure data accuracy and system cleanliness.
- Data Collection and Reporting: Compile performance data from marketing campaigns and asset distribution. Support ROI tracking, campaign metrics, and the preparation of reports and dashboards for leadership review.
- Budget and Invoice Support: Process purchase orders, track expenses, and verify vendor invoices for accuracy. Ensure that all financial documentation aligns with budget expectations and timelines.
- Operational Documentation: Maintain and update standard operating procedures (SOPs) for asset requests, vendor onboarding, inventory management, and order fulfillment. Support process improvements to increase accuracy and scalability.
- Compliance Support: Partner with the Marketing Operations Manager and Compliance team to ensure all marketing materials and promotional items meet cannabis marketing regulations for each state. Maintain compliance documentation and assist in preparing materials for audits.
- Cross-Functional Collaboration: Coordinate with Marketing, Sales, Field Marketing, and Creative teams to ensure timely delivery of materials, alignment on priorities, and communication between internal and external stakeholders.
- Continuous Improvement: Identify opportunities for automation, improved documentation, and process efficiency in asset management, reporting, and vendor operations. Participate in quarterly reviews of operational workflows.
- Other Duties/Tasks as Assigned: Provide additional administrative and logistical support as needed to ensure smooth departmental operations.
What You Bring
- Bachelor’s degree in Marketing, Business Administration, Communications, or a related field preferred.
- 2 years of experience in marketing coordination, operations, or administrative support (experience in cannabis, CPG, or retail preferred).
- Strong organizational and multitasking skills with an ability to manage multiple projects simultaneously and meet deadlines.
- Proficiency in Microsoft Office Suite, Google Workspace, and familiarity with project management tools (e.g., Asana, Trello, or Monday.com).
- Hands-on experience with HubSpot or similar CRM/marketing automation systems preferred.
- Strong analytical skills, with comfort working with data and reporting tools to track marketing performance and ROI.
- Excellent communication and interpersonal skills; able to coordinate across departments and vendors with professionalism.
- Detail-oriented, resourceful, and proactive with a continuous improvement mindset.
- Familiarity with cannabis industry regulations or willingness to learn compliance requirements related to marketing and distribution.
- Ability to occasionally assist with inventory and shipping logistics (up to 25 pounds).
Physical Demands / Work Environment
This position is on-site and involves both office and warehouse settings, requiring frequent computer use and occasional physical activity related to marketing materials, packaging, and shipments.
